MAIN PURPOSE OF THE ROLE

The Head of Digital Workplace is accountable for defining and executing the Digital Workplace strategy, managing a multitude of digital workplace products to ensure the MUFG business and its end users receive cutting edge tools and technologies that enhance productivity, collaboration and agility. The role holder will collaborate with colleagues in EMEA and across the globe to transform the end user compute and endpoint strategy, modernise current collaboration tools and to enhance the employee experience of the working environment.

The role holder will lead the strategic direction, implementation, management and support of these critical digital workplace products to optimise solutions including the performance and associated costs whilst ensuring reliable and secure digital workplace platforms that meet the growing needs of a diverse workforce.

The role holder will work with the Head of Digital Engineering Services and Solutions Department Head to deliver transformation through a reliable, robust, sustainable, scalable and efficient operating model by leveraging best practices.

The role holder will be accountable for launching and promoting Digital Workplace offerings to MUFG business lines including communications, education and service readiness. They will own and lead the investment planning of Digital Workplace related projects and programmes measuring the effectiveness of these services delivered.

The role holder will own and manage the cost of Digital Workplace technologies and associated budget, licensing and vendor relationships to ensure cost efficiency, optimisation and return on investment.

This role is an integral part of the Digital Engineering Services and Solutions leadership team and the department’s evolution to bridge the gap between legacy systems with modern, agile, cloud-based solutions whilst maintaining compliance and regulatory obligations.

KEY RESPONSIBILITIES

Planning & Strategy

  • Own and execute a comprehensive Digital Workplace strategy, defining objectives, aligning digital workplace product implementations with employee needs and business goals.
  • Accountable for the vision and operations of the Digital Workplace function enhancing the strategic development of all Digital Workplace related architecture, products and platforms whilst balancing innovation, stability and scalability.
  • Accountable for the technical Digital Workplace roadmap to enhance employee experience, productivity and security.
  • Own and establish the framework for the Digital Workplace Objectives, ensuring they align with Digital Engineering Service and Solutions department and technology business strategy.
  • Provide leadership and subject matter expertise on Digital Workplace technologies and adoption of these across multiple regions and business lines to support the ongoing modernisation of the function, staying ahead of technological advancements through knowledge and experience through internal and external networks.
  • Identify and lead opportunities for innovation utilising Digital Workplace technologies – supporting the organisational goals to modernise, reduce technology legacy debt, reduce technology and cyber risk, efficient and cost-effective adoption of AI, rationalisation of applications and infrastructure.
  • Identify opportunities and implement strategies for efficiency enhancement, functionalities and service quality improvement, whilst adopting technology advancements.
  • Establish and lead Digital Workplace product ways of working and teams to support the shift to reusable, standardised infrastructure services.
  • Own and manage the Digital Workplace platform budget, licensing and vendor relationships to ensure cost efficiency, optimisation and Return on Investment.
  • Ensure relationships with EMEA Technology functions and business clients are actively managed to fully deliver to business requirements.

Operational Excellence, Platform and Product Management and Governance

  • Owns the design, development, and day-to-day operation of digital workplace technologies, including Modern Workplace (Teams, SharePoint, OneDrive), VDI (Citrix/Azure Virtual Desktop), and emerging technologies like GenAI.
  • Accountable for designing, developing and supporting Digital Workplace solutions leading strong engineering discipline to deliver secure, reliable and modern end user computing.
  • Accountable for the employee experience through collaboration and communication tools ensuring strict adherence to regulatory requirements and security standards.
  • Accountable for building and implementing Digital Workplace ecosystem that is robust, secure and resilient.
  • Accountable for the and end to end life cycle of all assigned Digital Workplace products.
  • Accountable for the successful management of Digital Workplace product upgrades, technical debt and ensure adherence to best practice.
  • Lead Product Manager for Digital Workplace and productivity tools. Accountable for providing initial approval on new digital workplace products and recommending removal of product offerings as required.
  • Accountable for defining and determining the intended usage for each digital workplace product understanding the full front-to-back lifecycle including initiating the decommissioning process as part of the overall Digital Workplace product strategy and control environment.
  • Manage a team of Digital Workplace Professionals and Engineers to oversee day-to-day operations, incident response, and automation, reducing downtime and operational bottlenecks.
  • Accountable for ensuring that sufficient capacity is available to accommodate expected growth in all managed Digital Workplace products.
  • Responsible for ensuring Digital Workspace Virtualisation Infrastructure is highly available, reliable and performant.
  • Accountable for implementing Digital Workplace feedback mechanism to measure and improve the human aspect of technology usage.
  • Responsible for end user experience and agility utilizing digital technology and measuring the customer satisfaction levels of the business.
  • Accountable for providing appropriate first, second- and third-line levels of business support to end users. Ensuring work is maintained within agreed service and operating level agreements.

Governance

  • Own and oversee the health, performance and operational integrity of Digital Workplace products.
  • Accountable for the EMEA service desk ensuring KPIs are fully defined and met and operate to agreed service levels.
  • Ensure accurate reporting of all KPIs/KRIs for the Digital Workplace products, systems and tooling.
  • Identify key risks within the Digital Workplace team, assessing and mitigating those risks in accordance with the appropriate risk management framework.
  • Ensure the Digital Workplace function operates in a controlled way in accordance with standard procedures by adhering to related security and compliance procedures.
  • Interpret relevant regulatory, requirements and security, design and technical best practices and translate these to business aligned cloud programme requirements. In conjunction with EMEA Technology Risk, Security and Control, ensure that all regulatory requirements are fully complied with, including DORA assessments and appropriate defences and controls are in place to deal with all cyber risks.

Project/ Change

  • Accountable for complex, large scale Digital Workplace Implementations, ensuring quality, security and compliance.
  • Responsible for the definition, documentation and safe technical execution of projects, working closely with the allocated Programme / Project Manager. Actively participating in all phases of the project.
  • Analyse accuracy of technical demands, work in progress, take action to ensure targets are met within safety and quality procedures, including hand-over to business and operational supports teams where appropriate.
  • Provide effective investigation and technical resolutions for any issues that may occur as part of the project lifecycle.
  • Investigate potential and actual service problems that may arise from implementation and recommend solutions. Follow formal procedures to plan and test proposed solutions.
  • Manage the technical delivery of projects within the agreed technical scope, cost and timescale across Bank and Securities.
  • Provide specialized technical guidance, establish technical delivery goals and set reasonable delivery timeframes.
  • Interpret relevant regulatory, requirements and security, design and technical best practices and translate these to business aligned Digital Engineering Services and Solutions programme requirements.

Leadership, Culture and People Management

  • Accountable for leadership across the Digital Workplace function, ensuring that the team have the appropriate capabilities to be successful in their roles.
  • Accountable for development of team with a strong focus on building future capabilities.
  • Lead and champion MUFG’s inclusive, diverse, and values-led culture while fostering a growth mindset to embrace new technologies, industry advancements, and innovative use cases.
  • Actively manage performance, develop talent, identify key positions and persons and create sustainable success plans.
  • Ensure appropriate training is in place to fulfil current and future skill requirements.
  • Lead and promote a dynamic, delivery driven culture that works alongside business units to provide responsive resolutions and value driven solutions.
  • Build and nurture strong relationships with internal and external stakeholders, including business teams, to promote collaboration, understand industry’s best practices, and influence positive change across the organization.
  • Lead and support location strategies prescribed from MUFG and enable transitions (where appropriate) seamlessly.

WORK EXPERIENCE

Essential:

  • Proven and extensive experience in Digital Workplace technology, in a leadership role within a similar sized global organisation, managing a diverse technology team across multiple time zones within a 24/7 production environment.
  • Proven experience implementing secure collaboration tools and end user computing, driving high adoption rates and transforming workplace technology through automation, AI within heavily regulated environments.
  • Extensive experience leading large scale digital transformation initiatives, workplace migrations and endpoint transformations in enterprise settings.
  • Proven experience of creation extensive product and platform strategy and roadmaps and articulation of these to business line and senior stakeholders.
  • Proven ability to lead and inspire a team of technology professionals, fostering a culture of collaboration and continuous improvement.
  • Extensive experience in managing the technical Digital Workplace delivery for multiple workstreams, driving innovation and forward-thinking technology workplace solutions.
  • Deep understanding of endpoint technology, modern device management, collaboration and messaging platforms.
  • Demonstrable experience of senior stakeholder management and relevant management reporting.
  • Excellent communication and interpersonal skills, with the ability to bridge the gap between technology and the business and to engage and influence stakeholders at all levels of the organization.
  • Ability to coach team members and stakeholders through technical knowledge transfer and constructive feedback
