Dispatch Administrator / Stores Person
Reporting to: Quality Assurance & Warehouse Manager
Role Overview
The Dispatch Administrator / Stores Person plays a key role in supporting the sales and warehouse teams by ensuring the timely dispatch of goods and maintaining accurate stock records. The role involves coordinating shipping activities, preparing documentation, supporting production operations, and assisting in meeting customer delivery requirements.
Key Responsibilities
Dispatch & Shipping
- Arrange and book parcel and pallet deliveries for UK and international destinations via phone, email, or courier portals.
- Ensure all orders are dispatched accurately and on time.
- Create and maintain accurate shipping documentation.
- Produce packing lists and export documentation where required.
- Generate manual invoices for export orders.
- Create barcode labels using Wasp Barcode software.
- Provide shipping quotes and delivery updates to the sales team.
- Track shipments and provide tracking references to relevant personnel.
Sales & Administration Support
- Support the sales and sales administration teams with shipping quotes, stock checks, and order updates.
- Provide regular feedback on order status and delivery progress.

Warehouse & Stores Operations
- Pick and pack customer orders in accordance with dispatch notes and specific packing requirements.
- Produce stores identification labels where required.
- Maintain accurate stock records through rolling stocktakes and adjustments on the company system.
- Book products into stock accurately and in a timely manner.
- Pick parts and process transactions for works orders.
- Sort, count, and package manufactured goods and products.
General Warehouse Duties
- Maintain a clean and organised warehouse and stores area.
- Assist with loading and unloading vehicles.
- Operate warehouse equipment such as forklift trucks and pallet trucks (training provided if required).
Working Relationships
- Internal colleagues across warehouse, production, and sales teams
- External couriers and shipping providers
- Suppliers and customers where required
Key Performance Indicators
- Accurate and timely dispatch of orders
- Correct shipping and export documentation
- Efficient progression of subcontractor orders
- Accurate stock records and inventory management
- Effective communication regarding order and delivery status

Required Skills & Experience
- Minimum 2 years' experience in a similar dispatch, warehouse, or logistics role
- Strong computer literacy, including:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- Knowledge of stock control and goods-in procedures
- Strong organisational skills with the ability to work to deadlines
- Ability to identify and resolve problems efficiently
- Excellent written and verbal communication skills
- Self-motivated with the ability to work independently or as part of a team
