Overview
Reporting to the Divisional Portfolio & Asset Manager, you'll play an important role in shaping the performance of our leasehold estate.
Supporting the delivery of estate and asset strategies across the divisional portfolio, you'll help optimise our property assets, manage lease events, control occupancy costs and drive initiatives that support long term commercial success.
Working collaboratively with colleagues and external partners, you'll coordinate activity, provide robust analysis and insights, and help ensure the divisional property plan stays on track.

Responsibilities
- Support the Divisional Portfolio & Asset Manager in managing lease events — including preparation of strategy options, comparable research, option development and coordination of external advisers.
- Maintain and update the divisional 18–24 month forward plan for lease events and estate actions, ensuring information is current, dependencies are flagged and next steps are clear.
- Prepare comparables, market evidence and lease summaries to support negotiation strategy and decision-making packs.
- Support the identification and progression of re-gear opportunities, including early engagement preparation, pack development and coordination of information for the DPM.
- Assist with dilapidations at divisional level — supporting schedules of condition at new lettings, gathering liability information ahead of lease events and feeding into the Estates Manager's dilapidations register.
- Coordinate with external agents and advisers under the DPM's direction — managing information requests, chasing progress and ensuring briefs are followed.
- Undertake a proportion of the lease events negotiations in house themselves as well as through managing agents.
- Undertake site inspections to support lease strategy, consent applications, repair strategy and project scoping.
- Support portfolio optimisation activity, including preparation of cluster review inputs (analysis to support estate decision making), nine-box evidence (portfolio performance and potential assessment) and estate action tracking.
- Assist with divisional estate management issues, liaising with the Estates Management Team where required.
- Manage incoming reactive estates issues as mini-projects — coordinating appropriate action on matters such as repair issues, health and safety risks, store continuity and landlord-related matters to help keep stores safe, compliant and operational.
- Prepare internal documentation in a clear, decision-ready format and maintain a clear and well-documented audit trail for Legal execution.
- Escalate where appropriate any identified key risks to Line Manager, alongside proposed actions for mitigation

Qualifications
- RICS-qualified (MRICS); or in active APC pursuit with a clear timeline.
- Experience in commercial property estate management, lease advisory or asset-related surveying work, ideally in a multi-site or retail environment. Candidates from a relevant agency background with retail experience are appropriate.
- Working knowledge of occupancy cost management — service charge, rates and rent — sufficient to review demands and identify anomalies.
- Familiarity with dilapidations processes and landlord consents sufficient to support the Divisional Portfolio Manager and Property & Estates Manager.
- Organised and with attention to detail, able to manage multiple lease events and actions concurrently.
- Clear written communication skills, able to structure information into decision-ready formats.
- Proficient in Microsoft Office (particularly Excel) and property management or tracking systems.
