About the Role
The Document Control Administrator is responsible for supporting the document control team in managing, maintaining, and archiving project documentation across strategic facilities. This ensures seamless project governance, compliance, and operational efficiency throughout the entire lifecycle of any given project.

Key Responsibilities
Document Control
- Ensure project documentation aligns with company quality procedures and design guides.
- Oversee the logging, copying, distribution, storage (electronic and hard copy), transmittals, and amendment control.
- Maintain accurate document registers for full lifecycle traceability.
Coordination & Liaison
- Collaborate with project management, discipline engineers, procurement, and alliance partners to meet document control requirements.
- Represent Bilfinger in client interactions concerning document exchanges.
Continuous Improvement
- Assist in upgrading and refining document control processes to enhance efficiency.
Template Compliance
- Validate that all templates align with Bilfinger’s BMS Document Management System and Teamcentre.
Registration & Record Keeping
- Register all incoming and outgoing project documents, ensuring all drawings and deliverables include transmittals.
- Maintain a structured electronic repository (within project folders) for all received and distributed documentation.

Document Compilation
- Compile complete design packages, including CAD drawings and supplementary documents, with strict adherence to design guides.
Distribution & Communication
- Dispatch documents to specified recipients as directed by engineers and confirm receipt.
- Serve as the primary contact for receiving customer and third-party documentation.
Archiving
- Oversee the secure retention and disposal of both digital and physical project documentation.
Requirements
Experience & Qualifications
- Minimum four GCSEs, including a Grade C in English Language.
- Secondary education up to Higher Grade level (or equivalent).
Mandatory Safety Certification

Competent Construction Induction Card (CCNSG) applicant-only.

Competency-Based Interview required.
