Job Description

United Infrastructure is recruiting for a Document Control Manager to support the Energy Team on various nationwide projects.

As the Document Control Manager, you will take ownership of all project document control activities, ensuring robust management of project information, compliance with document procedures, and effective coordination across internal teams, clients, subcontractors, and stakeholders.

You will lead and oversee document control processes throughout the full project lifecycle, ensuring accurate reporting, governance, and maintenance of Electronic Document Management Systems (EDMS).

As a United Infrastructure Document Control Manager, you will:

  • Lead and manage all document control activities across the project lifecycle
  • Act as the primary point of contact for all document management processes and systems on the project
  • Support the Contracts Manager and wider project team with document control strategy, reporting, compliance, and process improvements
  • Manage document versions and ensure the latest approved revisions are accessible to all relevant stakeholders
  • Oversee the secure distribution and control of project documentation internally and externally
  • Maintain ownership of project document registers, workflows, document numbering, and filing structures
  • Manage and control the flow of project documentation including technical submissions, commercial documentation, subcontractor information, RFIs, client communications, and vendor deliverables
  • Ensure all outgoing documentation meets company and client standards for consistency, formatting, numbering, revision status, and quality assurance
  • Maintain and administer document management platforms including SharePoint, F Drive, Client CDEs, and EDMS systems such as Aconex
  • Monitor document review and approval cycles, proactively expediting overdue documentation and advising project teams on upcoming deadlines
  • Produce regular and ad-hoc project reporting relating to document status, progress tracking, and compliance metrics
  • Develop, implement, and improve document control procedures and best practices across the project
  • Train and mentor project team members on document management systems, standards, and procedures
  • Coordinate with project stakeholders to resolve document-related issues efficiently and effectively
  • Ensure all project information is archived correctly and transferred in line with company and client requirements upon project completion

Qualifications

  • Proven experience in a senior Document Control or Document Management role within infrastructure, utilities, construction, or engineering projects
  • Previous experience managing or supervising document control activities on major projects
  • Excellent interpersonal and communication skills with the ability to engage effectively at all levels
  • Strong knowledge of Electronic Document Management Systems such as Aconex, SharePoint, or similar platforms
  • Advanced knowledge of Microsoft Office applications including Word, Excel, and Outlook
  • Strong organisational and administration skills with exceptional attention to detail
  • Ability to manage multiple priorities and work effectively under pressure
  • Proactive and assertive approach to expediting and managing document workflows
  • Experience within the gas or utilities sector is desirable
  • Understanding of project lifecycle documentation and quality management processes
  • Ability to drive continuous improvement within document control procedures and systems
