Document Controller (Part-Time, Fixed-Term Contract)

Role Overview
Salary: Commensurate with experience Location: 12–18 Hoxton Street, London N1 6NG Contract Type: Part-time, fixed-term, 2–3 days per week Reporting To: Studio Lead & Senior Associates
The Document Controller at Freehaus is responsible for the meticulous management of all project documentation—drawings, contracts, reports, and correspondence—to facilitate smooth workflows and compliance.
Key responsibilities include:
- Establishing and maintaining centralised filing systems and digitised recordkeeping to ensure accurate and accessible project documentation.
- Tracking document revisions, versions, and change orders, harmonising version control across existing systems.
- Supporting quality assurance (QA) processes and compliance, including health & safety, regulatory, and contractual requirements.
- Coordinating document workflows between interdisciplinary teams—architects, engineers, contractors, and external partners—ensuring alignment with internal studio standards.
- Administering Common Data Environments (CDEs), including BIM360, 4Projects, or ACCs, to oversee data integrity and accessibility.
- Providing ongoing support for project delivery, including coerogue and responsive archiving of completed projects.
- Leading improvements in document template formats, standardisation, and digital infrastructure to enhance studio efficiency.

Requirements & Criteria
Technical & Subject Matter Skills
- Document management expertise: Proficiency with filing systems, version control, and maintaining searchable, permanent records.
- Software experience: Confidence in Microsoft Office (Word, SharePoint, OneNote) and PDF tools, alongside BIM/CDE platforms (e.g., BIM360, 4Projects, ACC software).
- Digital workflows: Ability to intuitive platforms such as Slack, Google Drive, Trello, or Jira.
- Project documentation basics: Familiarity with drawing conventions, specifications, schedules, and contract sheets is an advantage.
Soft Skills
- Precision & quality mindset: Demands high standards in document accuracy, consistency, and studio compliance.
- Collaborative spirit: Experience liaising between creative teams, clients, and contractors in a fast-paced studio.
- Time management & multitasking: Willingness to prioritise, quickly adapt to emergent priorities, and juggle multiple concurrent projects.

Experience & Attributes
- Gain from experience in legibus architecture/construction or government offices, but all-disciplined applications with a strongly developed administrative/data management foundation are encouraged.
- Desirable experience includes on-site participation in document management visits (e.g., meetings, site audits), or exposure to ethically urgent processes—such as climate-responsive or socially-focused projects.
- Proven ability to work independently or as part of a dynamic team, with patience for iterative feedback.
