Document Controller / Project Coordinator
Position: Document Controller | Project Coordinator | Project Administrator
Location: Head Office (West London) | Permanent | Full-Time
Are you an experienced Document Controller, Project Coordinator, or Project Administrator looking to join a growing major projects team?
We're recruiting for a Document Controller / Project Coordinator to support the delivery of large-scale mechanical building services projects across London and the Home Counties. Based from our Head Office, this role offers the opportunity to work alongside experienced Project Managers and Operations teams, with occasional visits to major project sites as projects progress.
This is an excellent opportunity for a highly organised Project Coordinator or Document Controller looking to develop their career within a busy construction and engineering environment.
The Role
As the Document Controller / Project Coordinator, you'll work alongside our Operations Coordinators, ensuring projects remain organised, compliant, and running efficiently from pre-construction through to project completion.

- Maintaining accurate project records
- Coordinating documentation
- Supporting multiple live projects simultaneously
Responsibilities
- Managing all project documentation using electronic document management systems
- Acting as the lead Document Controller for allocated projects
- Issuing, uploading, and distributing drawings, technical submissions, and project documentation
- Maintaining document registers and ensuring accurate revision control
- Supporting Project Managers with project administration and coordination
- Coordinating information between clients, consultants, subcontractors, and site teams
- Monitoring outstanding approvals and chasing technical documentation
- Preparing meeting packs, reports, and project documentation
- Assisting with handover documentation and O&M Manuals
- Supporting project mobilisation and maintaining project records throughout the project lifecycle
- Providing day-to-day Project Coordinator support across multiple live projects
- Working closely with the Operations team to ensure projects remain organised and compliant
Requirements
We're interested in speaking with experienced Document Controllers, Project Coordinators, and Project Administrators who thrive in a fast-paced construction environment.

Ideally, you will have:
- Previous experience as a Document Controller, Project Coordinator, Project Administrator, or Technical Administrator
- Experience within construction, M&E, mechanical building services, engineering, or facilities management
- Experience using document management systems such as Aconex, Viewpoint, Asite, Autodesk Construction Cloud, or similar
- Excellent Microsoft Office skills, particularly Excel, Outlook, and Word
- Outstanding organisational skills and exceptional attention to detail
- The ability to prioritise multiple projects and deadlines
- Excellent communication skills with both internal and external stakeholders
- A proactive and professional approach
