# Document Controller – Asset Intelligence


Role Title: Document Controller

Business Unit: Asset Intelligence Location: Stansted / London

We are currently seeking a Document Controller to work on projects across the London area for a variety of clients. Reporting to the Senior Document Controller, you will support the team in delivering high-quality document control and information management across multiple projects.


Responsibilities

Core Duties

  • Support the team in monitoring the production and quality of design and project management documentation in line with Asset Intelligence processes and procedures.
  • Assist with conducting quality audits and completing audit compliance documentation.
  • Support colleagues in obtaining standard design information and specifications from client document portals and other sources.
  • Assist with creating promotional materials (e.g., case studies, capability statements) for Asset Intelligence.
  • Review and audit configuration management systems (e.g., ProjectWise, CEMAR, Asite), providing feedback and suggestions for continuous improvement.
  • Gather information required to establish new project folders within SharePoint.
  • Support the design team in preparing design briefs for external subcontractors.
  • Collect tender design inputs from clients and ensure accurate storage in SharePoint.
  • Assist in producing design plan documents, including CVs and related deliverables.
  • Ensure design deliverables are stored correctly in SharePoint and that latest approved revisions are maintained.
  • Maintain the Drawing & Document Register and Transmittal (DDRT)—ensuring records are accurate and up to date.
  • Issue documents through client document management systems (e.g., SharePoint, Viewpoint, ProjectWise, CEMAR, Asite) and coordinate responses with project teams.
  • Support provision of technical information for HAZCONs, HAZCOMs, HAZOPs, ALMs, FATs, and SATs.
  • Collate and manage the compilation of O&M Manuals and Health & Safety Files throughout project lifecycles.

Requirements & Skills

Essential

  • Sound knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint).
  • Familiarity with ISO 9001:2015 Quality Management Systems.
  • Working knowledge of ProjectWise, CEMAR, Asite, and Viewpoint.
  • Experience with database management systems (e.g., TWEXnet).
  • Healthy typing and report-writing skills.
  • Understanding of GDPR and regulations for document handling.
  • Ability to manage database changes efficiently.
  • Proactive, time-oriented approach to handling tasks and queries.
