Role Summary:
This role will support the Head of Digital Delivery and Document Control activities by maintaining accurate and compliant records across EWR systems in compliance with the relevant policies and standards. This role will work closely with internal and external stakeholders to manage incoming and outgoing documentation.
Function:
The Delivery function is accountable for delivering an asset which aligns to the Sponsor requirements, establishing a safe, reliable and integrated railway. Delivery will demonstrate delivery excellence through technical innovation and design excellence, underpinned by mature Programme controls to maximise the benefit of project delivery in relation to public pound spent. The Delivery function will act as an intelligent and informed integrated team, that uses a network of third-party strategic suppliers to leverage the capabilities required to deliver the asset.

Key Responsibilities
- Use of the company document management system, and associate electronic document management systems
- Be responsible for managing large volumes of incoming and outgoing records, with key partners, suppliers, and other external stakeholders
- Collaborate with relevant teams to maintain suitable document control systems, procedures, and standards etc
- Issue controlled copies of documents to different internal and external stakeholders, managing all elements of associated workflows
- Maintaining drawing registers and other critical technical and safety-related records
- Collate requirements for external standards documentation and undertake purchasing etc. Requirements as appropriate
- Take responsibility of your own and others’ health and safety by adopting and working to the EWR Co Health and Safety principles.
- Demonstrates a cost-conscious mindset, keeping taxpayers’ money at the forefront of decisions.
- Shows a commitment to innovation by proactively seeking creative solutions to challenges and opportunities.
- Act as a role model for EWR Co’s vision and behaviours, working in ways that are aligned with EWR Co’s Ways of Working, as well as encouraging and supporting others to do so too.
Skills, Knowledge and Expertise
- Previous document controller (or assistant) experience, ideally working on major construction programmes/projects, ideally in rail-related capacity or within the UK Public sector
- Excellent IT literacy, verbal and written communication skills
- Experience of document management in complex organisations liaising with a diverse range of departments and organisations
- Experience on client-side of a major infrastructure project would be an asset
- Experience and sound knowledge of ProjectWise, SharePoint, and Office 365
- Working knowledge of other proprietary document control/EDMS, i.e., Aconex.
- Excellent relationship management, people skills and presentation skills with an ability to work effectively as part of a team
- BIM knowledge and experience (preferred not essential)
- Contribute to moving the document control function at EWR to an assurance role, participating in setting standards, defining, and maintaining processes and procedures in this space
- Strong attention to detail
