Document Controller

Document Controller – Asset Intelligence

Location: Stansted / London Business Unit: Asset Intelligence

We are currently seeking a Document Controller based in the London area to partner on various client projects, reporting to the Senior Document Controller. This role will focus on maintaining high standards in document control, information management, and configuration tracking across multiple Active Intelligence projects.


Key Responsibilities

Document & Process Management

  • Support the monitoring, quality control, and production of design and project management documentation in line with Asset Intelligence processes and procedures.
  • Conduct quality audits, complete audit compliance documentation, and provide feedback for continuous improvement.
  • Assist colleagues in collecting design information and specifications from client document portals and external sources.
  • Oversee the creation and maintenance of promotional materials, including case studies and capability statements.

Database & System Administration

  • Review and audit configuration management systems (e.g., ProjectWise, CEMAR, Asite, Viewpoint), analysing feedback to improve processes.
  • Establish and manage new SharePoint project folders, ensuring accurate metadata and information organisation.
  • Maintain the Drawing & Document Register and Transmittal (DDRT), keeping records up-to-date and accurate.
  • Issue documents through client systems (SharePoint, Viewpoint, ProjectWise, CEMAR, Asite) and coordinate responses with project teams.

Collaboration & Administrative Support

  • Support the provision of technical information required for HAZCONs, HAZCOMMs, HAZOPs, ALMs, FATs and SATs.
  • Collate and manage Operation & Maintenance (O&M) Manuals and Health & Safety Files throughout the project lifecycle.
  • Assist the design team in documenting design briefs for external subcontractors, ensuring inputs are gathered and stored securely.
  • Manage and store tender design inputs within SharePoint, maintaining accuracy and accessibility.

Requirements & Qualifications

Essential Skills & Knowledge

  • Sound proficiency in Microsoft Office packages (Word, Excel, Outlook, PowerPoint, SharePoint).
  • Working knowledge of ISO 9001:2015 Quality Management Systems.
  • Experience with document management systems (e.g., ProjectWise, CEMAR, Asite, Viewpoint, TWEXnet).
  • Strong typing, report writing, and database management skills.
  • Familiarity with GDPR and document compliance regulations.
  • Proactive approach to query resolution and task management, with a time-orientated work ethic.
  • Water company-related experience is beneficial but not essential.
