Document Controller – Health & Safety Handback (D2)

Overview of the Role
D2 offer tailored and impartial advice on Information Management and Document Control. The business has a track record of delivering holistic management of project information and understand the challenges and complexities that arise from project to project. The team can advise on the setup and maintenance of your chosen system, as well as provide training and ongoing support.
The core objective for the appointed Document Controller is to assist in the collation and final handback of Health & Safety files to the National Records Group (NRG).
Responsibilities
- Provide technical support to the teams using the document management system, particularly the CDM-PD (Construction Design Management – Planning) and integration teams
- Assist in the creation and management of progress trackers, including Health & Safety handback-specific documents such as the Deliverable Document Matrix (DDM)
- Manage the collation and compliance checking of all evidence to be submitted to the NRG as part of the Health & Safety Handback File
- Manage any ProjectWise access requests from the NRG to ensure a smooth handback process
- Maintain a clear communication route with relevant teams to ensure the H&S file is populated from an early project stage—this includes leading briefings and training sessions for project staff
- Develop and run reports, provide quantifiable data, and offer analysis upon request
- Conduct compliance checks and maintain online data
- Support Red Line to As Built drawing processes where necessary
- Perform compliance checks and handover As Built drawings to the NRG
- Collaborate with the Head of Information Management to establish efficient, effective processes for a successful H&S handback, including lessons learnt, best practices, and future improvements
- Maintain H&S process documentation and guidance resources

Essential Skills & Requirements
- Strong analytical and administrative skills, with the ability to analyse and interpret data
- Demonstrated excellent interpersonal skills
- Strong organisational and multitasking abilities
- High computer literacy, particularly with Microsoft Excel
- Good written and verbal communication skills
- A keen eye for detail
