The Role

We are seeking an organised and technically minded Domestic Works Coordinator & Estimator to support the continued growth and development of our domestic services department.

This is a varied role that combines customer service, estimating, scheduling, procurement, and technical support. You will play a key role in ensuring works are delivered efficiently, engineers are supported, and customers receive the high standard of service that Edward Bays is known for.

Working closely with our engineers & office team, you will be involved in projects from initial enquiry through to completion and invoicing.

You will be based within our established office team and supported by experienced administrative staff, engineers, and directors. The role is focused on coordinating and developing the department rather than carrying out all administrative functions independently, allowing you to concentrate on delivering an efficient and high-quality service to our customers.

Key Responsibilities

  • Preparing quotations for domestic heating, plumbing, and maintenance works.
  • Coordinating engineer diaries and scheduling works efficiently.
  • Procuring materials and liaising with suppliers.
  • Reviewing and approving material requirements for ongoing works.
  • Monitoring live jobs and producing regular Works In Progress (WIP) reports.
  • Providing technical assistance and support to engineers where required.
  • Managing customer enquiries and maintaining regular communication throughout projects.
  • Raising invoices and ensuring completed works are closed out promptly.
  • Assisting with the coordination of servicing, reactive maintenance, and smaller projects.
  • Working alongside directors to monitor workload, performance, and departmental objectives.

Additional Responsibilities

Whilst the primary focus of the role will be coordinating our domestic heating, plumbing and maintenance operations, the successful candidate will also support the management of selected commercial service and planned preventative maintenance (PPM) contracts.

This will include assisting with service scheduling, monitoring contract compliance, coordinating engineer attendance, ordering materials, and ensuring servicing and maintenance works are completed and invoiced in line with client requirements.

The role offers excellent variety, providing exposure to both domestic and commercial operations within an established and growing mechanical services business.

About You

The ideal candidate will have experience within the plumbing, heating or mechanical services industry and understand the practical requirements of coordinating works and supporting engineers.

You will be organised, proactive and capable of managing multiple tasks in a fast-paced environment whilst maintaining a strong customer focus.

Essential Skills & Experience

  • Experience within the plumbing, heating, HVAC, or mechanical services sector.
  • Good technical understanding of domestic heating and plumbing systems.
  • Experience preparing quotations and managing works.
  • Strong organisational and communication skills.
  • Ability to prioritise workloads and manage multiple ongoing jobs.
  • Good IT skills, including Microsoft Office and job management software.
  • Professional and customer-focused approach.

Preferred Experience

Whilst not essential, preference will be given to candidates with experience or qualifications in one or more of the following areas:

  • Gas Safe registered.
  • OFTEC registered.
  • Air source heat pumps and renewable heating technologies.
  • Domestic heating system design and specification.
  • Service, maintenance and fault-finding of domestic heating systems.
  • Experience coordinating service contracts or planned preventative maintenance (PPM) works.
  • Experience using service management software.
  • Previous experience as a service coordinator, estimator, office coordinator, or heating/plumbing engineer.
