Key Responsibilities
The E-billing Executive will ensure seamless electronic invoice processing and client mapping across our global firm.
Core duties include:

Bill Submission and Intermediary Compliance
- Generate and submit PDF and Ledes eBill files to third-party intermediaries on behalf of all global offices.
- Maintain accurate and updated client data within third-party systems.

Client Liaison & Billing Support
- Load timekeepers and associated rates into third-party e-billing platforms (including UK, US, EMEA, and Asia regions).
- Analyze and respond to client e-billing requests, serving as the primary liaison with:
- Timekeepers
- Business Finance
- IT department
- Assigned clients

Quality Assurance & Timely Processing
- Ensure invoices comply with agreed Service Level Agreements (SLAs) and are paid within deadlines.
- Draft and verify bills/disbursement details for partner approval.

System & Process Improvement
- Process and manage:
- Write-offs, transfers, cancellations, and reissues of time/expenses.
- Debtor statements (issuing, tracking, pursuing client payments via email/phone).
- Assist in system development, testing eBiling formats, and documenting processes.
- Advise on electric invoice formats, policies, and intermediary workflows.

Reconciliation & Initiative
- Reconcile billing matters internally and via third-party intermediaries.
- Disseminate best practices to Business Finance, revenue teams, fee earners, and new projects.

Onboarding & Dedicated Client Support
- Act as a single point of contact for a portfolio of clients.
- Attend or facilitate client meetings to discuss eBilling needs, challenges, and improvements.
Requirements
Experience & Skills
- Minimum 3 years’ experience in a legal eBilling environment.
- Extensive knowledge of electronic invoice intermediaries (preference for experience with Aderant eBILLS).
- Strong proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to analyze revenue data and suggest process enhancements.
- Excellent analytical, problem-solving, and communication skills.
- Proactive and highly organized, with fluency in working under tight deadlines.
