About The Role
We are looking for an experienced Personal Assistant or Executive Assistant with proven C-suite experience to join our team at BioCity, Nottingham on a 12-month fixed-term contract to cover maternity leave. This is a hybrid role, with the expectation to be on-site four days per week.
As PA to the Board, you'll work as part of our wider Administrative team, providing comprehensive and proactive support to our Chief Executive Officer, Chief Financial Officer and Chief Commercial Officer. Acting as a trusted partner and gatekeeper, you'll manage complex diaries, coordinate internal and external meetings across multiple senior stakeholders, balance competing priorities, and anticipate challenges before they arise.

Role Responsibilities
- Coordinate and support key business meetings, including strategic forums, preparing agendas, collating papers, distributing materials, and tracking actions and deliverables.
- Arrange domestic and international travel, including itineraries, accommodation and logistics, and manage expenses accurately and efficiently.
- Support client meetings and coordinate visits, preparing materials and logistics, ensuring a high-quality and professional experience for key stakeholders such as clients and guests.
- Work collaboratively with the wider administration team to support on-site leadership, providing flexible executive support as required.
- Organise meeting rooms, including layout, audio/visual setup, and refreshments, ensuring a professional first impression and a seamless on-site experience for guests and stakeholders.
- Assist with telephone and visitor management, ensuring a professional first impression and seamless coordination of visitor access, meeting hosting, and on-site logistics.
Skills & Qualifications
- Proven experience as a PA or Executive Assistant, supporting C-suite executives and multiple senior stakeholders in a fast-paced environment.
- Strong understanding of corporate governance and executive-level workflows, and the ability to handle confidential information with integrity.
- Highly proficient in Microsoft Office, Outlook diary management, Microsoft Teams, and presentation, reporting and collaboration tools.
- Highly organised with strong attention to detail and the ability to manage multiple demands effectively.
- Professional and confident communicator, capable of building effective relationships at all levels.
- Flexible and adaptable, with the ability to respond positively and calmly to changing priorities.
- Proactive and solution-focused, with the ability to anticipate needs.
- Collaborative team player with a professional, polished, and customer-focused mindset.
