About The Role

Cleo moves fast, and the Founder's time is our most scarce resource. We're looking for a highly organised and proactive Executive Assistant to support Barney, Cleo's CEO and Founder.

This isn't a traditional EA role. You'll go beyond day-to-day support - managing projects, optimising workflows, and driving execution across the business on Barney's behalf.

Your work will directly enable him to focus on Cleo's highest-priority activities, and you'll gain real exposure to high-level decision-making in a fast-moving startup.

Key Responsibilities

  • Schedule management and coordination - Proactively manage the CEO's complex schedule with a clear understanding of business priorities. Coordinate and prioritise meetings, travel, and events anticipating conflicts and resolving them before they become problems. You may also support other members of the exec team with diary management and travel arrangements.
  • Project assistance and task coordination - Support rolling projects by gathering information, preparing materials, and ensuring Barney is well-equipped to make timely, impactful decisions. You'll also own the company newsletter - coordinating contributors and developing new sections.
  • Meeting preparation and follow-up - Organise and prepare for meetings: gather relevant information, produce crisp briefing documents, and make sure all necessary stakeholders are ready. Ensure decisions land with clear follow-through.
  • Travel and logistics - Oversee all aspects of the CEO's travel - itineraries, accommodation, logistics - optimising for productivity even when he's on the move. Handle the unexpected promptly and keep things running smoothly.
  • Communication and liaison - Act as a trusted point of contact for the CEO with internal teams and external partners. Manage communications, ensure timely responses, and facilitate smooth coordination and follow-up across the business.
  • Process improvement - Continuously spot opportunities to improve workflows and reduce administrative load - then actually implement the changes.
  • Personal assistance - Support Barney with personal matters including bill management and appointment bookings.
  • Handle sensitive and confidential information with sound judgement and complete discretion. You represent both Barney and Cleo - the standard is high.

What We're Looking For

  • 5+ years in an Executive Assistant or similar role, ideally in a fast-paced startup or supporting senior executives
  • Experience in project management or process improvement is a plus
  • Experience managing or coordinating others preferred
  • Exceptional organisational skills with the ability to manage multiple priorities simultaneously
  • Strong problem-solving abilities and attention to detail
  • Clear, concise written and verbal communication
  • High level of autonomy and flexibility in a dynamic, fast-changing environment
  • High EQ, discretion, and sound judgement when handling sensitive information
  • Proactive and self-motivated - you don't wait for instructions
  • Strong sense of ownership and drive to deliver results
  • Values communication, collaboration, and continuous improvement
  • Resourceful and thrives under pressure
  • High integrity and professionalism; you represent Cleo and Barney to the highest standard
