Executive Assistant – Private Equity (Contract, Maternity Cover) – Fitzrovia, London
About the Role
We are seeking an experienced and organised Executive Assistant to support 3-4 Partners in a growing Private Equity firm, with a focus on maternity cover in a contract role. Based in the Fitzrovia area of London, this position requires someone adept at managing complex schedules, coordinating global travel, and overseeing administrative duties for the entire office. Starting anticipated in September 2024 to ensure a smooth handover period.

Description
Key Responsibilities
- Diary & Meeting Management:
- Provide comprehensive administrative support to 3-4 Partners, including diary management, meeting scheduling, and agenda preparation.
- Coordinate global travel arrangements, including itineraries, booking, and liaison with external travel providers.
- Manage a high volume of internal and external meetings, tailored to investor relations, fundraising, and partner interactions.

Executive Support & Communications:
- Serve as the primary point of contact for internal and external communications, ensuring professionalism and discretion.
- Travel coordination, including expense reconciliation and post-travel processing.

Operational & Office Support:
- Oversee day-to-day office operations, liaising with facilities, suppliers, and building management.
- Ensure meeting rooms and the office environment are consistently well-presented for stakeholders.
- Organise office services, including catering, supplies, maintenance, and courier logistics.

Strategic & Department Coordination:
- Collaborate across global offices and timezones to ensure seamless workflows.
- Support investor roadshows and special projects as required.
Requirements
- Proven experience in a comparable role within Private Equity, Investment, or high-level corporate support.
- Strong track record of managing diaries for multiple senior executives.
- Multitasking and organisational skills with an emphasis on precision and detail-orientation.
- Full proficiency in Microsoft Office Suite (Excel, Outlook, Teams, etc.).
- Exceptional written and verbal communication skills with a polished, professional demeanour.
- Ability to work independently, prioritise effectively, and resolve issues proactively.
- A resourceful and solution-driven approach to administrative challenges.
