Role Summary

Reporting to the Senior EHS Advisor (with close collaboration with Facilities / Operations). The EHS & Facilities Administrator provides comprehensive administrative, operational, and system support across Environmental, Health & Safety (EHS) and Facilities Management. The role ensures the effective functioning of EHS management systems and the safe, compliant, and efficient operation of site facilities.

What You’ll Be Doing

Environmental, Health & Safety (EHS) Administration

  • Administer and maintain EHS management systems (e.g. EcoOnline, Spark, TrackWise or similar).
  • Manage incident, near-miss, hazard, and corrective action tracking, ensuring timely updates and closure.
  • Control EHS documentation, policies, procedures, and records in line with document control requirements.
  • Support the preparation and maintenance of Standard Work, Safe Systems of Work, and EHS communications.
  • Provide administrative support to incident investigations and dissemination of lessons learned.

ISO, Compliance & Regulatory Support

  • Support compliance with statutory EHS, environmental, and internal standards.
  • Assist with ISO 14001 and ISO 45001 documentation, audit preparation, evidence gathering, and follow-up actions.
  • Maintain registers, plans, permits, and compliance records (e.g. risk assessments, inspections, training).
  • Support contractor pre-qualification and review of safety documentation (RAMS, permits, insurance).

Reporting, Data & Performance Monitoring

  • Compile and maintain EHS KPIs, dashboards, and trend analysis for monthly reporting.
  • Support environmental, waste, energy, and carbon data collection and reporting.
  • Provide accurate data to support management reviews, audits, and continuous improvement activities.

Training & Competence Administration

  • Coordinate EHS training administration (system-based and classroom).
  • Liaise with managers, employees, and training providers to ensure compliance with training requirements.
  • Maintain training matrices and competence records.

Facilities Operations & Workplace Support

  • Coordinate day-to-day facilities activities including cleaning, maintenance, security, and waste services.
  • Act as the first point of contact for facilities-related issues and service requests.
  • Monitor site and building conditions, escalating issues requiring corrective or specialist action.
  • Support office moves, space planning, workstation setup, and general workplace improvements.

Maintenance & Contractor Coordination

  • Liaise with external contractors for planned and reactive maintenance.
  • Schedule and track preventative maintenance for mechanical, electrical, HVAC, and other systems.
  • Ensure contractors comply with site safety procedures and EHS requirements.

Facilities Compliance & Safety

  • Maintain facilities documentation, service records, permits, and inspection logs.
  • Conduct and record basic safety and compliance checks (e.g. fire alarms, emergency exits, first aid stations).
  • Support emergency preparedness activities including fire safety, spill response, and evacuation readiness.

Administration, Assets & Financial Support

  • Raise and manage purchase orders and invoices related to EHS and facilities activities.
  • Maintain asset registers, inventories, and records for equipment, tools, and consumables.
  • Prepare reports on maintenance activities, costs, and facilities performance.

Collaboration & Communication

  • Act as a central point of contact for EHS and facilities administrative queries.
  • Work closely with the Senior EHS Advisor and facilities stakeholders to plan workloads and priorities.
  • Support cross-functional engagement on safety, compliance, and workplace improvement initiatives.

This is what you’ll need to be successful in this role

Essential

  • Strong administrative and organisational skills with high attention to detail.
  • Ability to manage cyclical, system-driven, and reactive workloads.
  • Confident communicator able to work with internal teams and external contractors.
  • Experience using electronic management systems and MS Office (Word, Excel, etc.).
  • Ability to prioritise tasks and respond effectively to operational issues.

Desirable

  • Experience supporting ISO 14001 and/or ISO 45001 management systems.
  • Knowledge of UK EHS regulatory requirements.
  • Experience in facilities, manufacturing, laboratory, or regulated environments.
  • Familiarity with HSE, environmental management, or GMP environments.
