HYROX Elite Athlete Experience Manager (m/f/d)
HYROX is a global sports event series that combines running and functional fitness training in a unique race format. Founded in Germany in 2017, HYROX has evolved into a worldwide fitness movement with events across five continents, attracting tens of thousands of athletes every season.
At the pinnacle of this ecosystem are our Elite athletes. As the HYROX Elite Race Series scales globally (featuring five E15 races plus the World Championship), we are centralizing the Elite journey to deliver a consistently world-class, athlete-first experience.
As our Elite Athlete Experience Manager (m/f/d), you are the strategic and operational mastermind behind the entire elite athlete journey. You don't treat our high-performance competitors as participants to be processed, but as the very reason the event exists. You will seamlessly align Event Production, Operations, Ticketing, Marketing, Timing, Broadcast, and Customer Services to ensure a flawless, premium experience from the first invitation to post-race servicing. If you combine deep operational event fluency with experience within the elite competitor community, and you thrive on turning detailed planning into race-day reality, this is your opportunity to set a new global standard!
YOUR KEY RESPONSIBILITIES
Elite Athlete Journey & Operational Planning
- End-to-End Ownership: Own, map, and continuously improve the end-to-end elite athlete experience across all Elite Race Series events and the World Championship.
- Run Sheets & Logistics: Develop and maintain detailed operational run sheets, timelines, planning documents, and checklists for all athlete-related activities and movements during race weekends.
- On-Site Operations: Lead the execution of all elite athlete operations trackside, including registration, check-in, accreditation, briefings, transport, media commitments, and medal ceremonies.
Communication, Onboarding & Workflow Management
- Workflow Execution: Establish and manage reliable communication workflows for invitations, confirmations, withdrawals, substitutions, and reserve processes.
- Information Delivery: Ensure athletes receive accurate, timely, and consistent information within established timelines (including athlete guides, travel/accommodation info, venue access, and competition logistics).
- Data & Records: Maintain flawless athlete records, profiles, contact information, and participation data, while supporting ongoing athlete onboarding and rule education.

On-Site Elite Lounges, Hospitality & Welfare
- Lounge Management: Stand up, manage, and oversee the Elite Lounges and athlete-only spaces, ensuring they operate to the highest premium standards.
- Welfare & Compliance: Coordinate comprehensive athlete welfare provisions (nutrition/hydration, recovery spaces, warm-up facilities, medical care, accessibility, and travel disruption support).
- Partnerships & Anti-Doping: Coordinate with the Partnerships team for athlete gifting, partner activations, and premium amenities, while ensuring full compliance with anti-doping requirements and welfare standards.
Cross-Functional Alignment & Stakeholder Management
- Central Coordination: Act as the central anchor for all athlete-facing activities across the business.
- Internal Alignment: Formalize and lead cross-functional alignment with internal teams (Event Production, Operations, Ticketing, Marketing, Timing, Broadcast, and Customer Services) on all athlete schedules, requirements, and deliverables.
- Risk Management: Proactively identify and manage operational risks that may impact the athlete experience or presentation standards (interviews, appearances, ceremonies).
Evaluation, Projects & Continuous Improvement
- Post-Race Servicing: Deliver the first full cycle of post-race reporting, including timing/performance data, ranking, and viewership insights.
- Content Coordination: Coordinate edited videos for each E15 athlete for social media use.
- SOPs & Feedback: Run post-race qualitative feedback loops (calls/meetings) and develop standardized SOPs and checklists to drive continuous improvement into the following season.
- Strategic Projects: Lead special projects to elevate the series' prestige, such as digital athlete services, new hospitality concepts, community engagement, and elite recognition programmes.

YOUR PROFILE
- Experience: Experience delivering elite-level athlete or VIP programmes in a live sport or major events environment, combined with deep, first-hand knowledge in a live sport or major events environment (including accreditation, timing, broadcast, and athlete flow).
- The Ultimate Juggler: An exceptional planner who thrives on detail without losing sight of the big picture. You are equally comfortable building a complex run sheet six months out and solving unexpected problems calmly trackside.
- Relationship & Credibility Power: Genuine credibility among elite athletes with a proven track record of working closely with high-performance competitors. Strong relationship-building skills that let you align multiple departments around a shared standard without needing formal authority.
- Sport Passion & Premium Instinct: A genuine passion for sport and an innate instinct for what a "world-class" experience feels like from an athlete’s perspective.
- Travel Dynamics: The core of the Elite Series travels globally. You bring a high level of flexibility and are ready to travel internationally to our E15 races and the World Championship, bringing full ownership to the high-energy crunch phase of our race weekends.
