We are recruiting for an Emotional Wellbeing Services Administrator to provide efficient, professional administrative support for YMCA East Surrey’s Emotional Wellbeing & Mental Health team, who are part of our Children & Young People Services.
Job Purpose
You will be required to perform general administrative duties for the Emotional Wellbeing and Mental Health team, focusing on priority areas as directed by your line manager, and ensuring practitioners and managers are well supported administratively so that delivery and operational oversight is maximised.
You must be IT literate and confident with working knowledge of Microsoft office packages. You should have knowledge and understanding of data protection legislation.
Excellent interpersonal and customer service skills, customer focussed with the ability to communicate effectively with a diverse range of people is required for this role.
HOURS OF WORK: 20 hours per week – ideally spread across Monday to Friday, flexibility will be considered.

SALARY: £14,290 per annum (pro-rata) ( £25,000 per annum FTE)
Main Responsibilities
- To process referrals ensuring each referral is added to the relevant client record system
- To provide support to practitioners and managers in maintaining the waiting lists, arranging initial appointments and allocating sessions
- To ensure rooms and venues are booked as and when needed and to liaise with external venue providers
- To provide a professional and customer focused service for children, young people and families and for professionals who contact the service
- To support managers with prepaid card administration, process invoices, data checking and reporting
- To undertake additional administrative tasks to support the wider Emotional Wellbeing and Mental Health service
- To support practitioners and managers to produce leaflets, posters and promotional material as necessary; to promote and publicise EWMH services among relevant agencies, referrers, service users and potential service users.
TYPE OF CONTRACT: Permanent
LOCATION: Hybrid working– office based at the YMCA Phoenix Youth Centre in Tadworth, KT20 5FB.
Hours worked at the Phoenix Youth Centre may vary within the core contracted hours to meet the needs of the service.
HOLIDAYS: 5 weeks per annum plus bank holidays.
The holiday year runs from 1 April to 31 March each year. (Pro-Rata for Part Time)
