Job Description: Engagement – Event Coordinator

Reporting to: Event Manager

Team: Engagement Team

Location: Wakefield, West Yorkshire, with travel as required.

Hybrid Working Requirement:

This is a hybrid role. The post-holder will be required to work a minimum of 2 days per week in our Wakefield office, with the expectation that office attendance will increase during busy periods and in the lead-up to major events.

Hours of Work & Holiday Entitlement:

  • 09:00 - 17:30 Monday to Thursday
  • 09:00 - 16:30 Friday

Annual leave entitlement is 28 days plus bank holidays; however, 3 days must be reserved for the Christmas shutdown period to ensure a proper rest break for all staff

Salary: £26,000 per annum

Length of contract: Permanent

As a member of the Engagement Team, you will play a key role in delivering events and learning experiences that support senior local government and public sector leaders across the UK. You'll work in a collaborative environment, gain exposure to high-profile stakeholders, and have opportunities to develop your event management, communications and engagement skills.

Principal Responsibilities

Event Coordination & Delivery

  • Coordinate online, hybrid and in-person events, learning programmes and engagement activities from set-up to evaluation.
  • Maintain accurate event information across CRM, website and booking systems, ensuring records are up to date and GDPR compliant.
  • Manage delegate bookings, attendance records, joining instructions and event communications.
  • Prepare high-quality event materials, including briefing packs, speaker notes and supporting documentation.
  • Coordinate logistics such as venue liaison, catering, accommodation, travel and event resources where required.
  • Support speakers, facilitators, suppliers and stakeholders throughout the event lifecycle to ensure a professional experience.
  • Provide operational support during events, including registration, speaker management, delegate engagement, timekeeping and troubleshooting.
  • Support virtual event delivery, including platform management, technical checks, housekeeping announcements and audience Q&A.

Marketing & Communications

  • Draft clear, engaging marketing copy and event communications for email, web, social media and promotional materials.
  • Support event marketing campaigns to maximise attendance, engagement and visibility.
  • Create and distribute timely delegate communications throughout the event journey.
  • Ensure communications and materials reflect Solace’s brand, tone of voice and professional standards.
  • Monitor booking levels and help identify opportunities to increase participation where required.

Stakeholder & Customer Engagement

  • Provide a professional, responsive customer experience for members, delegates, speakers, partners and suppliers.
  • Act as a key point of contact for event enquiries, responding promptly and professionally.
  • Build positive working relationships with internal and external stakeholders.
  • Support engagement activity that strengthens Solace’s membership offer, reputation and reach.

Reporting & Continuous Improvement

  • Produce event reports, booking summaries and evaluation data to support decision-making and performance monitoring.
  • Gather and review delegate feedback to identify improvements.
  • Contribute ideas to improve event processes, systems, customer experience and operational efficiency.
  • Support the monitoring of event KPIs and agreed performance measures.

Team Collaboration, Organisational Support & Key Relationships

  • Work collaboratively across the Solace Group and with partner organisations to support high-quality, integrated delivery.
  • Build and maintain positive relationships with colleagues, members, delegates, speakers, facilitators, suppliers, partners and stakeholders.
  • Contribute to a positive team culture by sharing knowledge, supporting colleagues and working flexibly to meet organisational priorities.
  • Take ownership of assigned projects while managing competing priorities, deadlines and changing requirements.
  • Act as an ambassador for Solace, modelling the Group’s values and promoting its services and opportunities.
  • Undertake additional duties appropriate to the role and level of responsibility.

Person Specification

Knowledge & Experience

Essential:

  • Experience coordinating events, projects or engagement activities in a customer-focused environment.
  • Experience managing multiple activities, projects or deadlines while maintaining accuracy and quality.
  • Strong working knowledge of Microsoft 365, including Teams, Outlook, Excel and SharePoint.
  • Experience producing clear written content such as marketing copy, event communications, briefing packs or delegate information.

Desirable:

  • Experience using CRM systems such as HubSpot or Salesforce.
  • Experience supporting virtual events.
  • Familiarity with email marketing platforms or event management systems.
  • Understanding of social media platforms and digital communication tools.

Additional Information

While the role is hybrid, the post-holder will be expected to work flexibly and travel when required. You will be expected to work at least 2 days a week in our Wakefield office, with increased office presence expected during peak periods and event preparation phases. The role also requires attendance at events across the UK, including occasional early starts, evening events and overnight stays.
