Engineering Operations Support Manager
The Engineering Operations Support Manager is a pivotal role within CBRE's engineering operations team, supporting delivery of hard FM services on a leading financial services account across the UKI region. Acting as the operational glue that holds the team together, this person will bring clarity, pace and structure to a complex, fast-moving environment - ensuring that subcontractor management, compliance administration, work order oversight and financial processes all run smoothly and accurately.
This is a senior position requiring someone who can hit the ground running: confident in leading day-to-day back of house and administration functions, capable of directly managing a Technical Coordinator, and self-motivated enough to drive continuous improvement without close supervision.
Key Responsibilities
Subcontractor Management
- Own and manage the 365-subcontractor planner, ensuring full coverage and accuracy.
- Plan and coordinate all third-party subcontractor planned and reactive activity across the UKI region.
- Manage third-party service reports, liaising with the operational team to ensure timely review and close-out.
- Provide comprehensive administrative support for all third-party vendors operating across UKI region.
- Raising of all corrective maintenance work orders following planned subcontractor service visits.
Work Order & Compliance Oversight
- Oversee performance management of all work orders - reactive, PPM and corrective maintenance - for both self-delivered and subcontracted works.
- Administrative support with CBRE eLogbook and associated compliance documentation.
- Support the coordination and collation of technical reporting for the account.
- Ownership for raising all Service Now Change Requests for critical works across the UKI region.
- Raising of Authority to Access (ATA) requests for UKI via the existing Smartsheet process.
- Support the raising of reactive and planned maintenance purchase order requests.
- Ownership of the ATA Smartsheet system from a technical and administrative perspective.

Financial Coordination
- Manage subcontractor invoice processing and receipting, ensuring timely payment aligned with works completion, covering planned and reactive works.
- Operational management of Transaction budget tracking and reporting.
- Ordering of all materials, consumables, uniform etc.
Team Administrative Support
- Administration of CBRE Engineering SharePoint system, as well as providing oversight of document management and quality assurance.
- Oversee management of CBRE and customer-issued IT equipment across engineering team.
- Support with the management and coordination of training, including ownership of the training matrix.
- Support with ad hoc HR topics across engineering team and wider CBRE teams on the account as/when necessary.
- Support operations team with payroll submissions and ad hoc payroll queries.
Team Leadership & Coordination
- Directly line-manage the Technical Coordinator, providing clear direction, support and performance management.
- Coordinate and manage the team's daily activities: establish work schedules, assign tasks, set and track deadlines.
- Mentor and coach direct reports, assisting with coordination and administration of training and development activity.
- Identify, troubleshoot and resolve day-to-day and moderately complex operational issues within existing systems and processes.
Experience & Skills
Essential
- 5+ years' experience in a similar technical or critical engineering environment, with the ability to work at pace and with precision.
- Proven line management experience, including the ability to manage individuals who may be resistant to change.
- Advanced proficiency across the Microsoft Office suite: Excel, Teams, Outlook and PowerPoint.
- Experience working with Smartsheet or similar workflow/planning tools.
- Strong financial administration skills, including invoice management and purchase order processing.
- Excellent written and verbal communication skills, with the ability to liaise effectively across operational and client-facing teams.
- Demonstrable experience planning, coordinating and reviewing technical detail in a structured environment.
