Role Purpose
To deliver high-level administrative support to the GTC team, upholding business standards and ensuring superior customer service.
Key Responsibilities
Operational Support
- Monitor and process gas emergency notifications (telephone/email) for leaks or damaged mains, ensuring GTC assets remain operational.
- Coordinate planned/unplanned works, aligning with external contractors and GTC engineers to meet the following critical standards:
- SCO (Site Care Obligations)
- Traffic management
- NRSWA (National Register of Safe Contractors)
- Ontime backfill and reinstatement
- Training ensuring competence
- Contractor invoicing
- Leave expediting
- Issue recovery records
- Transparency in site visit charges
Financial & Compliance Tasks
- Raise quotes for stakeholders and procure materials/equipment efficiently.
- Process NRSWA notices to formalise contractor compliance.
- Compile sub-contractor and GDN (Gas Distribution Networks) invoices, ensuring adherence to service level agreements and accuracy.

Customer & Stakeholder Service
- Facilitate cost recovery for damages/leaks, recapturing lost revenue from disrupted services.
- Accuracy-check work packs and invoices, flagging errors/missing details to sub-contractors and stakeholders.
- Resolve customer complaints in timelines, ensuring exceptional service and long-term relationships.
Re Ralph Component & Oversight
- Ensure no gas incidents or rephrasing of emergency clauses remain unresolved among GTC, IGT (Integrated Gas Transmission), and GDNs.
- Reporting: Compile daily/weekly/monthly analytics to aid Senior Management in monitoring KPIs and stakeholder performance.
- Ad-hoc: Other tasks as required by management.
Experience & Skills
Must-Have Skills
- Administrative experience in a demanding, customer-facing environment.
- Customer engagement skills, backed by excellent oral and written communication, phrasing.
Technical Proficiency
- Proven ability to operate Microsoft Office systems (Word, Excel, Outlook).
Soft Skills
- Capacity to deliver quality work with minimal supervision.
- Strong teamwork ability.
- Professionalism in interactions with all branches of the organisation (customers, managers, teammates).
Desirable Qualifications
- Diploma in Business Administration.
- Understanding of gInstruction core operations, stakeholder roles, and asset management, such as the NRSWA and GDNs.
- Capability to manage gas emergency calls (e.g., detecting/following gas-escape protocols).
- Level 3 competency in three key operational workflows aligned with the current role.
- Familiarity with BUUK Infrastructure’s culture, sub-contractor division plans, and KPI expectations.
Conditions of Employment
- Standby rota participation may be required for gas incident responsibilities.
