Estates Administration Officer
Administrative Assistant – National Office
Location: Stoke Gifford, South West England, BS16 1EJ Workbase: Bristol National Office (with blended working flexibility)
Job Summary
This role delivers high-quality administrative support to Forestry England’s National Estates Team. You will provide essential operational support, ensuring compliance, finance, and general business functions meet required standards. Duties include administrative assistance, financial processing, compliance management, and front-of-house reception support.
Key Responsibilities
1. Compliance & Building Administration
- Maintain and update compliance records and logs (e.g., H&S files, statutory inspections, risk assessments, and contractor RAMS receipts) ensuring adherence to audit standards.
- Conduct routine building checks and assist with statutory tasks:
- Weekly fire alarm tests
- First-aid kit inspections
- Display screen equipment administration
- Visitor/contractor sign-in oversight
- Track and resolve remedial actions from inspections by liaising with Office Manager, Facilities/Estates teams, and suppliers.
- Support compliance communications (noticeboards, SharePoint pages, briefings) and coordinate mandatory training / induction for visitors and new starters.
2. Financial Processing & Contract Administration
- Process purchase orders, goods receipts, and invoices accurately and on time, maintaining clear audit trails and meeting month-end deadlines.
- Assist in contract management:
- Logging and prioritising contract issues
- Maintaining records
- Producing basic reports
3. Office Operations & Reception
- Provide first-line administrative support when the Office Manager is unavailable, triaging requests efficiently.
- Complete occasional manual tasks (e.g., room set-ups) with training and provided equipment.
- Relieve receptionist duties during absences:
- Answer phones, greet visitors/contractors professionally
- Securely manage access passes
- Coordinate meeting rooms (bookings, layouts, tech checks, hospitality orders) for events and workshops.
- Maintain a welcoming, safe reception area, escalating security, safeguarding, or H&S concerns immediately.
- Perform any additional duties to support an efficient, compliant National Office.

4. General Administrative & Business Support
- Organise meetings, travel and accommodation, produce agendas, notes, and action trackers.
- Maintain digital repositories (e.g., SharePoint, Teams) in a searchable, structured manner, adhering to information governance standards.
- Assist in preparing documents, presentations, reports, and letters.
- Undertake any other general administrative duties requested by the team or line manager.
Person Specification
Skills, Knowledge & Experience
Essential Required:
- Strong administrative and organisational skills with meticulous attention to detail, managing multiple deadlines efficiently.
- Excellent communication skills (written & verbal), presenting a customer-focused and professional demeanour.
- Proficient IT user across:
- MS Office (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
- Database and spreadsheet use for data entry and updates
- Experience processing financial transactions (POs, receipting, invoicing) while maintaining tidy, auditable records.
- Practical problem-solving skills, ability to follow procedures and recognise when to escalate.
- Disciplined approach to health, safety, and compliance protocols, including keeping records organised.
- Willingness to handle occasional manual tasks (with training and provided equipment).

Desirable (Not Mandatory, But Preferred):
- Previous experience in reception or front-of-house roles.
- Experience with facilities management or building maintenance processes.
- Knowledge of audits or quality assurance checks.
Qualifications:
- GCSE in Maths and English or functional skills equivalents.
