Estates and Facilities Manager
About The Role
This role is responsible for overseeing and coordinating the Estates Assistants and Cleaning Team to deliver a high-quality support service for the College’s staff and student community.
The postholder will:
- Lead and support the efficient day-to-day operation, maintenance, and upkeep of the College estate.
- Ensure that facilities are safe, well-maintained, and fit for purpose.
- Support the delivery of services across the College’s various provisions, including the proposed new campus at Station Quarter from September 2026.
- Contribute to a positive and effective learning and working environment for all users.
Key Responsibilities
Coordination and Help Desk Management
- Monitor, co-ordinate, and allocate all tickets raised through the College reactive help desk, including prioritization by urgency, location, and task.
- Respond to customer requests via the IT/Estates service desk (or as notified by the Director of Estates or Estates Administrator) in a professional, positive, and timely manner.
- Keep originators updated on progress for all requests.
- Work with the Director of Estates to:
- Create a Service Level Agreement (SLA) for estates-related tasks.
- Implement the SLA via the help desk.

Maintenance and Safety
- Monitor, co-ordinate, and supervise completion of mandatory planned maintenance tasks:
- Ensure comprehensive records and audit trails for tasks.
- Operate fire and intruder alarm systems.
- Conduct weekly fire alarm checks.
- Perform periodic statutory checks (e.g., emergency lighting systems).
- Support the Building Services Officer in:
- Checking and monitoring daily operations of building plant equipment (heating, water services, air conditioning, air handling units or AHU systems).
- Reporting any issues for resolution.
Inspections and Repairs
- Carry out and record premises inspections.
- Report any required repairs, maintenance work, or health and safety concerns identified.
General Maintenance
- Perform:
- Minor plumbing, carpentry, building repairs.
- Decorating tasks.
- When required, supervision of contractors (ensuring College procedures are adhered to).
Groundskeeping
- Undertake low-level grounds maintenance as follows:
- Grass cutting
- Strimming
- Weeding
- Hedge/tree trimming and pruning
Procurement and Event Support
- Draft and place orders for consumables/materials and minor maintenance items (via the Estates Administrator).
- Lead coordination of support for any:
- College events.
- External events held on the College premises (collaborating with organisers and the College marketing team).

Transportation
- Use the College minibus and van, when necessary, for:
- Collection and delivery of materials.
- Transportation of students or prospective students.
Skills & Expertise
- Broad general knowledge of building construction and maintenance, including trade experience and qualifications.
- MS Office proficiency (focused on applications like Word and Excel), along with general computer skills.
- Strong understanding of health and safety standards for the role, with a commitment to safeguarding the health and safety of learners and others.
- Experience supervising others—fostering efficient, effective, and collaborative teamwork.
- Ability to be:
- Effective working independently or as part of a team.
- A common-sense problem-solver.
Qualifications & Training
Required

First aid qualification or willingness to work towards achieving one.

Full driving license.

Immediate access to a personal car in case of emergency callouts.
Desirable
- Basic Health and Safety at Work certification.
