Job Summary

Company: Live Nation

Department: VIP Nation International

Location: Farringdon, London and some travel to shows

Reports to: Senior Event Manager

Working Hours: Full time. Some evening and weekend work may be required if attendance is needed at shows

Job Type: Permanent


Role Description

Working within VIP Nation International you will be assisting the operations team in overseeing all administrative aspects. In this role you will be involved with all administrative requirements necessary to the fulfilment of the VIP packages on international tours.

For this role you should possess exceptional communication, interpersonal and leadership skills.

Who you are

Competencies / Skills / Knowledge / Experience

  • Excellent verbal communication skills
  • Experienced in content administration
  • Accurately managing deadlines
  • Prior knowledge of or exposure to IT systems/tools such as Mailchimp, Salesforce, Concur, and Attendium would be advantageous
  • The candidate should have previous experience in writing and delivering briefings to an appropriate standard
  • Proficiency in Microsoft applications especially Excel is essential
  • Previous corporate/private events experience would be a distinct advantage
  • Experience in a customer services environment, ideally in a dispute resolution capacity
  • Good command of written English
  • Previous experience in an admin heavy role is desirable
  • Additional languages are desirable

What the role includes

  • Assisting the operations team with all aspects of the administrative tasks required on a tour
  • Co-ordinate logistical arrangements across international markets including travel, accommodation, shipping, goods, and equipment
  • Agree and compile entry information and timings for letters/emails and itineraries
  • Manage administrative tasks using tools such as Mailchimp, Attendium, Salesforce, Concur, etc.
  • Actively source and recruit casual staff for events, manage and fulfil the payroll process
  • Create pay breakdown for tour representatives
  • Monitor and help manage reps touring expenses via a pre-paid card system
  • Monitor staffing levels at shows and create briefing doc packs
  • Assist in ensuring specified goods and services are delivered to the customers before, during and after the event, as may be appropriate
  • Assist with merch shipment and custom clearance of VIP merch
  • Assist in sourcing suppliers, including facilitating tender processes (where required)
  • Assist in creating a PO for goods being ordered by the event managers
  • Ensure the tour accountant has all cost information, relevant PO’s, and receipts prior to settlement
