Event Associate

Operations Coordinator – Conference Operations (Private Equity)

You’ll own the operational standard for every conference we deliver. Responsible for end-to-end execution of 10+ European private equity conferences annually, including venues, suppliers, on-site teams, and attendee experience.

Your Key Responsibilities

Your role blends operational precision, supplier management, and hands-on event execution:

1. Supplier Research & Management

  • Source and negotiate with venues, caterers, tech vendors, and production teams.
  • Research and manage add-on services, branding/materials (e.g., signage, brochures).
  • Budget tracking – Forecast costs and communicate changes early.
  • Collaborate cross-functionally to ensure seamless supplier relationships.

2. Event Planning & Execution

  • Lead sponsored VIP events, lunches, dinners, and after-hours activities.
  • Coordinate with venues to finalise logistics, AV, staffing, and event flow.
  • On-site presence – Troubleshoot and ensure flawless experiences.

3. Internal & Volunteer Support

  • Pre-event: Clarify queries quickly and consolidate intel for teams.
  • Track inventory – Manage internal documentation and assets.
  • Quality check – From banners to attendee materials.
  • On-site volunteers: Hire, train, and manage 40+ volunteers for seamless operations.
