Company Description
Athena Events Venue is an award-winning, sustainably operated events space located in the heart of the Midlands, specializing in conferences, award dinners, exhibitions, weddings, concerts, and large-scale live productions. Housed in a restored 1936 Art Deco former Odeon Cinema, the venue combines historic character with advanced in-house sound, lighting, rigging, and flexible layouts supported by an experienced technical team. Athena can host between 150 and 1,500 guests, offering one of the most adaptable large-scale venues in the UK. All food and beverage services are managed in-house to ensure a seamless and consistent experience for clients. Over the past 21 years, Athena has delivered more than 2,500 events for global brands, agencies, organizations, and private clients.
Role Description
The Event Coordinator is a full-time, on-site role based at Athena Events Venue in Leicester. This role is responsible for supporting the end-to-end planning and delivery of events, including coordinating event timelines, room layouts, schedules, and logistics. Day-to-day tasks include:

- Liaising with clients to understand event requirements

- Maintaining event documentation
- Collaborating with the technical, catering, and operations teams to ensure smooth execution

The Event Coordinator will oversee event setups, be present during events to manage on-the-day coordination, and respond to any issues to maintain a high-quality guest experience. The role also involves:
- Contributing to sales follow-up
- Building client relationships
- Supporting post-event evaluation to continuously improve processes and services
Qualifications
- Communication Skills: Candidates should possess excellent communication skills, including clear written and verbal communication and the ability to work effectively with clients, suppliers, and internal teams.
- Customer Service Skills: Candidates should possess solid customer service skills, with a focus on creating positive attendee and client experiences and handling feedback professionally.
- Sales Skills: Candidates should possess sales skills related to event inquiries, proposal preparation, upselling venue services, and maintaining client relationships.
- Experience: Relevant experience in venue operations or hospitality, including coordinating logistics, timelines, and vendor activities, is beneficial.
- Organizational and Time-Management Skills: Strong organizational and time-management abilities, with attention to detail and capacity to manage multiple events and deadlines, are required.
- Comfort with On-Site Work: Comfort working on-site during events, including evenings and weekends as needed, and the ability to stand and move around the venue for extended periods.
- Technical Proficiency: Confident using Canva, office applications, spreadsheets, and the latest AI tools, with experience of CRM systems (HubSpot preferred).
