Event Coordinator

Senior Operations Lead – Private Equity Conferences

You will have the opportunity to own the operational standard of every conference we run.

You will be responsible for the end-to-end execution of 10 European private equity conferences per year – overseeing venues, suppliers, on-site teams, and the event experience itself.

Key Responsibilities

While your role will vary, responsibilities will centre on:

Supplier Research & Management

  • Source, competitive research, and negotiate with suppliers for venue, event staging, technical needs, and other critical logistics.
  • Identify and onboard suppliers for add-on services (branding, catering, special events, and more).
  • Ensure cost-effective and high-quality contracts via negotiation and budget oversight.
  • Maintain strong supplier relationships and troubleshoot challenges effectively.

Event Planning & Coordination

  • Plan, brainstorm, and execute VIP sponsor events, networking lunches, dinners, and post-event activities.
  • Collaborate with venue staff to set up logistics, audio-visual, Wi-Fi, technical considerations, layouts, and layout flows.
  • Lead on-site execution to ensure flawless delivery – worry-free, guest-centred unforgettable experiences.

Internal Support & Process Management

  • Consolidate and resolve internal team queries across regional offices.
  • Manage inventory logistics and materials tracking – materials, AV, documentations, templates, and supplier contracts tied to event execution.
  • Quality-check design and production (banners, signage, scans, brochures, AV & marketing materials pre-flight).

On-Site Volunteer Management

  • Lead and supervise 40-person volunteer teams, ensuring recruitment, training, and on-site smooth execution.
