Event Logistics Executive / Co-ordinator

Role Description
The Event Logistics Executive / Co-ordinator plays a key role in the successful planning and delivery of these events. Responsible for coordinating all logistical elements from initial handover through to on-site delivery, this role ensures every event is delivered safely, efficiently and to the highest possible standard. Working closely with clients, venues, suppliers, freelancers and internal teams, the Event Logistics Executive / Co-ordinator will oversee event logistics, documentation, scheduling and operational planning, ensuring every detail is managed effectively while maintaining excellent customer service throughout.
Key Responsibilities
Event Planning & Logistics
- Manage and book in a large team of freelancers, develop and maintaining relationships as well as recruiting and onboarding
- Manage the logistical planning and delivery of allocated events from handover through to completion.
- Develop detailed event schedules covering planning, build, live event delivery and breakdown.
- Liaise with venues regarding layouts, access, permissions, loading schedules and technical requirements.
- Coordinate suppliers, contractors, production partners and freelancers to ensure successful event delivery.
- Produce event documentation including job sheets, logistics schedules, floor plans and operational briefings.
- Support the production of CAD plans where required.
- Ensure all equipment and resources are allocated appropriately for each event.

Operational Delivery
- Act as a key operational point of contact before, during and after events.
- Attend site visits where required.
- Coordinate internal teams, freelancers and external suppliers throughout event delivery.
- Resolve operational issues calmly and professionally while maintaining excellent client service.
- Support on-site event management to ensure projects are delivered safely, on time and within budget.
Compliance & Health & Safety
- Prepare event Risk Assessments, Method Statements and supporting Health & Safety documentation where required.
- Ensure all events comply with current Health & Safety legislation and company procedures.
- Assist with maintaining accurate operational records and documentation.
- Support post-event reviews and identify opportunities for continuous improvement.
- Ensure company processes and operational procedures are followed consistently.
Supplier & Team Relationships
- Build and maintain positive working relationships with venues, suppliers and contractors.
- Communicate effectively with internal departments to ensure smooth project delivery.
- Assist with sourcing suppliers and obtaining quotations where required.
- Support continuous improvement of operational systems and processes.

Job Qualifications & Requirements
Essential
- Minimum of two years' experience working within the live events industry.
- Proven experience managing event logistics and operational planning.
- Excellent organisational skills with the ability to manage multiple projects simultaneously.
- Strong communication and interpersonal skills.
- Ability to remain calm and professional under pressure.
- Excellent attention to detail.
- Proficient in Microsoft Office 365.
- Willingness to travel and occasionally work evenings and weekends to support live events.
Desirable
- Experience producing CAD layouts or event floor plans.
- Experience working with venues, production companies and AV suppliers.
- Experience of booking and working with agency staff
- Understanding of Health & Safety documentation, including Risk Assessments and Method Statements.
- Relevant qualification in Events Management or a related discipline.
- Full UK Driving Licence.
