Events Manager – Williams Racing

About the Role

Join Williams Racing, one of the most storied teams in F1 history, with 16 World Champions and a legacy of innovation, where we're rewriting our story towards a return to grid dominance.

We’re seeking an experienced and driven Events Manager to lead premium guest programmes and events—both away-from-track and at HQ—owning the full event lifecycle from concept to execution. Your role will entail close collaboration with Partners, internal teams, and suppliers to deliver world-class experiences that elevate the Williams brand while ensuring exceptional guest journeys.


Key Responsibilities

Event Design & Delivery

  • Develop and deliver sophisticated event concepts, embedding creative thinking to make Williams stand out in a competitive landscape.
  • Define clear event objectives, aligning with brand identity and Partner goals through cross-functional collaboration.
  • Build a portfolio of proven event formats, continuously tailoring unique, personalised additions to enhance guest experiences.
  • Serve as the primary point of contact for stakeholders and external partners, fostering strong working relationships with suppliers, agencies, and internal teams.
  • Direct and coordinate internal colleagues to ensure clear roles, responsibilities, and seamless execution during planning and on-site delivery.
  • Oversee guest communications, itineraries, and real-time updates to ensure a smooth experience from inception to completion.
  • Attend and manage allocated events, including hosting, issue resolution, and adaptability in fast-paced environments.
  • Conduct structured post-event reviews, evaluating success against OKRs through guest and stakeholder feedback to inform future programming.

Travel, Logistics & Supplier Management

  • Source, manage, and deliver accommodation, transport, transfers, and on-site logistics globally across Williams’ event calendar.
  • Build and maintain a pool of high-quality suppliers, negotiating contracts and ensuring compliance with agreed service standards.
  • Lead supplier teams during on-site delivery, guaranteeing performance alignment with event requirements.
  • Procure bespoke dining experiences, venues, and custom gifting tailored to Partner briefs and guest expectations.

Budget & Administration

  • Own and monitor programme budgets from planning through post-event analysis, ensuring financial accountability and compliance with Williams processes.
  • Maintain comprehensive event documentation, including timelines, operational plans, contracts, and evaluation summaries.
  • Oversee event promotion, invitation management, and the events booking platform.

Team Leadership & Collaboration

  • Line manage a direct report, providing clear objectives, regular feedback, and development opportunities.
  • Collaborate with the Hospitality & Events team, driving innovative solutions and process improvements to enhance guest experiences.
  • Work with colleagues to streamline processes and systems, identifying efficiencies for consistent, high-impact delivery.

Ad-Hoc Support

  • Provide assistance to the Concierge team for venue sourcing, travel/logistics coordination, and on-site support—especially during F1 races and race weekends.

Requirements

  • 5+ years’ experience in events, hospitality, guest management, travel and logistics.
  • Demonstrated success in complex, high-touch guest programmes within luxury or high-end environments.
  • Strong budget and process management capabilities.
  • Health & Safety qualifications (e.g., IOSH) are beneficial but not essential.
  • Fluency in a second language is advantageous but not mandatory.
