Event Operations Manager

Conference Operations Lead

About the Role

You’ll own the operational standards of every conference we run, overseeing 10 European private equity conferences annually. This breadth of responsibility extends from selecting venues and managing suppliers to coordinating on-site teams and ensuring a seamless attendee experience.

You’ll define how we execute industry-leading conferences, work flexibly within tight deadlines, and collaborate with an exceptional, entrepreneur-driven team.

Key Responsibilities

Your role involves end-to-end logistics and delivery for events. Core tasks include:

Supplier Research & Management

  • Source, evaluate, and negotiate with suppliers for:
    • Event venues and logistics
    • Contracting: A/V, IT, Catering, and Technical Needs
    • Hybrid/Sponsored Event add-ons, branding materials, and catering
    • On-site vendors, transports, and accommodations
  • Maintain strong relationships to ensure seamless execution and cost_effectiveness
  • Update budgets prospectively and flag changes early

Event Planning & Execution

  • Strategize and deliver sponsored VIP events, lunches, dinners, and after-hours activities aligned with client expectations
  • Coordinate venues, ensuring all logistical elements (technology, space planning, etc.) are robust
  • Provide on-site support, troubleshooting and ensuring flawless event experience

Internal Collaboration

  • Streamline internal request/call management
  • Track and refine processes surrounding inventory, supplies (e.g., banners, decors, beads) and automate updates

On-site Volunteer Operations

  • Hire, train, and manage a 40-strong volunteer team
  • Lead their preparation and ensure effective execution

Person Specifications

No prior industry/hosting experience needed. We love individuals who will grow alongside us, so expect clear investment in upskilling. UK work permit required.
