Event Operations Organiser

Head of Operations for Private Equity Conferences

You will own the operational standard for every conference we run, managing 10 European private equity conferences annually—covering venues, suppliers, on-site teams, and attendee experience. This role demands ownership, execution precision, and the ability to deliver under pressure, shaping a key industry while being an integral part of an entrepreneurial, dynamic team.

Your Responsibilities

This role demands versatility and accountability across:

Supplier Research & Management

  • Sourcing, comparing, and securing top-tier suppliers for all event needs (venue, decor, AV, catering, etc.)
  • Identifying and negotiating with specialty suppliers for add-ons, branding, and technical requirements
  • Maintaining strong supplier relationships—resolving issues proactively, ensuring cost-efficiency and consistency
  • Managing budget reviews—flagging changes or issues well in advance

Event Planning & Execution

  • Planning and executing VIP-sponsored events, lunches, dinners, and networking sessions
  • Collaborating with venue and technical teams to align on logistics and logistics
  • Providing on-site support—overseeing smooth execution, troubleshooting, and ensuring attendee experience
  • Coordinating private equity conferences—balancing event flow, tech, and branding

Internal & Cross-Functional Coordination

  • Streamlining internal queries—acting as a liaison between the team and various stakeholders
  • Managing inventory—tracking stock (equipment, printed materials, promotional tools)
  • Quality-checking all designs—logos, banners, signage, brochures, and promotional materials for consistency

On-Site Volunteer Organisation

  • Building and managing a 40-person volunteer team—recruitment, training, and on-site execution

Starting Timeline

This is an onsite role (Monday-Friday, London HQ}—inner-city, 4-minute walk to Victoria Station). The start date is flexible—you’ll join a team responding to both company and industry growth.
