Role Description

We're looking for an exceptional Proposal Planner & Operations Lead to join our growing team.

This is far more than a traditional event planning role. You'll be responsible for delivering world-class proposal experiences from the initial client enquiry through to flawless execution on the day.

You'll oversee every stage of the planning process, including client consultations, concept development, venue sourcing, supplier management, logistics, timelines, budgets, and operational coordination. You'll also personally lead the delivery of many proposal set-ups, ensuring every detail meets our luxury brand standards.

Alongside event planning, you'll play an important operational role, helping improve internal processes, maintaining planning documentation, coordinating schedules, managing bookings, and ensuring consistently outstanding service across every proposal we deliver.

This is a hybrid, four-day-per-week position based primarily in London, with flexibility to work from home for part of the week.

Key Responsibilities

  • Own the client journey from booking through to successful proposal execution.
  • Plan and coordinate luxury proposal experiences from concept to completion.
  • Liaise with clients, venues, and suppliers to deliver exceptional experiences.
  • Source and negotiate with premium venues and trusted suppliers.
  • Create detailed event schedules, production plans, and logistics.
  • Personally set up proposal décor and styling at venues, ensuring impeccable presentation.
  • Manage budgets, bookings, and operational administration.
  • Maintain accurate documentation, planning systems, and internal trackers.
  • Identify opportunities to improve processes and enhance operational efficiency.
  • Resolve challenges quickly and professionally while maintaining exceptional client service.
  • Represent Fairy Tale Proposals with professionalism, warmth, and creativity at all times.

What We're Looking For

Essential

  • Excellent event planning and project management skills.
  • Outstanding organizational skills with exceptional attention to detail.
  • Strong client relationship and communication skills.
  • Confidence managing multiple projects simultaneously.
  • Ability to remain calm and solution-focused under pressure.
  • Strong commercial awareness and excellent time management.
  • Comfortable using Microsoft Outlook, Excel, Google Workspace, and CRM/project management software.
  • Full UK driving licence with access to a car.
  • Willingness to work evenings and weekends in line with proposal schedules.

Desirable

  • Previous experience in luxury events, hospitality, or client services.
  • Experience planning proposals, weddings, or high-end private events.
  • Qualification in Events Management, Hospitality, Business, or a related discipline.

Working Arrangements

This is a four-day-per-week hybrid role based predominantly in London.

You'll be expected to work a minimum of two days each week from our London office and one weekend per week (either from home or on-site at events) with the remaining time working remotely.

As you'll be responsible for transporting décor and personally delivering proposal set-ups, a full UK driving licence and access to your own vehicle are essential.

Occasional travel across the UK, and internationally, may also be required as Fairy Tale Proposals continues its global expansion.
