Event Registration/Technology Project Manager

Department: GSMA Ltd | Team: Technology Innovation and Customer Experience (TICX)

Location: London

Position Type: Contract until March 2027 (Operating Inside IR35)

This role provides the opportunity to join our team at an exciting time, where you’ll work on global leadership events—such as MWC Barcelona—and help create something exceptional and unique for the GSMA and industry.

As part of an ambitious roadmap, you’ll drive process change and curate unique attendee experiences at our scale—from 300 to over 100,000 attendees—across regions worldwide.

About The Team

The Technology, Innovation and Customer Experience team (TICX) leads technical and operational delivery across:

  • Registration systems
  • Event apps
  • On-site attendee operations, including access management

A dynamic crew of global event specialists, we thrive under pressure to orchestrate seamless experiences at scale.


About The Role

This high-impact role, reporting to the Head of Technology, Events, spans the full event lifecycle—from pre-event planning to on-site execution. You’ll be the primary contact for assigned projects and key cross-team initiatives while collaborating with all business units.

Key Focus Areas

Project Management

  • Monitor project timelines and milestones
    • Schedule and facilitate meetings at all stages
    • Align internal teams to keep projects on track
  • Deliverable tracking and coordination

Stakeholder & Supplier Management

  • Build and nurture working relationships
    • Guide client briefings on digital platforms
    • Train internal teams and support system adoption
    • Create enquiry-handling protocols
  • Act as liaison between stakeholders, contact centers, and external providers

Registration & Technology Execution

  • System configuration
    • Set up registration platforms (passes, emails, content)
    • Lead User Acceptance Testing (UAT) with stakeholders
    • Craft test plans to ensure alignment with project scope
  • Provide input for platform enhancements based on business needs

On-Site Planning

  • Operate a stress-tested environment for events:
    • Ticket/access scanning (semester- and session-based)
    • Signage design, collateral, and vendor management
    • Staffing (training requirements, on-site resources)
    • Adopt high-performance workflows and contingency strategies

Documentation & Processes

  • Develop reproducible procedures for repeat events:
    • On-site operations and Q&A guides
    • Customer onboarding workflows for digital platforms

Financial & Data-Driven Decision Making

  • Generate data-driven reports for analytical insights
  • Budget ownership for assigned project areas
  • Join roadmap planning & strategy discussions

About You

Core Experience Requirements

  • Proven expertise in event registration technology with operational responsibility

  • International conference/tradeshow event organizing (in-house or as a service provider)

  • Hands-on with event platforms, including:

    • Registration tools (Cvent, RainFocus, Stova)
    • Virtual events and thanks delivery tech
  • Operations expertise covering:

    • Staff scheduling, build/lane ant throughput analysis
    • Signage planning, collateral design
    • Scanning & access control (gates, sessions)
    • Risk & crisis response processes
  • Commercial acumen with supplier negotiations and partnerships

  • Strong business-specific communication

    • Ability to bridge non-technical & non-event audiences on complex topics
  • Proficiency with data privacy, GDPR, security policies
