About the Role
If you're looking for your first role in events, this is for you!
As Event Coordinator within Haymarket, you will be a key support to the whole events team. We're a busy team, running 70 events a year, both in person and virtual. The events calendar is composed of Awards, Conferences, Forums, and industry networking events for Haymarket Brands and select clients.
This is an entry-level position and will give you the opportunity to manage set tasks and gain a good understanding of events within a leading UK media business.
Responsibilities
- Set up events in Evessio for entries, judging, dinner, and delegate sales
- Manage any troubleshooting and invoicing queries
- Support the relevant events manager with administrative tasks related to the event, including:
- Resizing images
- Setting up trophy shelves
- Helping to build databases
- Sending communications
- Be the main point of contact for potential entrants, judges, and attendees
- Send out regular communications, including:
- Shortlist emails
- Tickets
- Necessary event information
- Chase for information such as:
- Images
- Dietary information from finalists or delegates on each event
- Attend the event day to manage:
- Name changes
- Table planning
- Registration
- Send out:
- Trophies
- Certificates
- Event survey questionnaires (to be received the day after an event)

Skills, Experience & Knowledge (Minimum Criteria)
- An interest in working in events and a desire to learn
- Strong attention to detail
- Strong organisation and time management skills, including the ability to:
- Manage multiple tasks
- Work to tight deadlines
- Good use of initiative – a self-starter who can:
- Problem-solve
- Think on their feet
- A team player, not afraid of asking for help when needed
- Good collaborator and relationship builder, with the ability to work with many different teams
