Events Coordinator
Conference Operations Manager - United Media
You’ll have the opportunity to own the operational standard of every conference we run. Responsible for the end-to-end execution of 10 European private equity conferences annually—including venues, suppliers, on-site teams, and delivering an outstanding event experience.

Your Responsibilities
This role blends scrutiny with speed. Key focus areas include:
Supplier & Budget Leadership
- Research and vet vendors for all event needs (venues, AV, security, dining), including branding materials, special add-ons, and on-site services.
- Negotiate, finalise, monitor and manage contracts to balance cost, quality, and flexibility.
- Ensure budget adherence across all stakeholders; flag potential variances before approvals.
- Build proactive supplier relationships, resolving issues with efficiency and due diligence.
Event Execution
- Plan VIP events, lunches, dinners, and after-hours activities for sponsors and delegates.
- Logistics coordination: Manage signage, banners, décor, and scheduled transitions throughout events.
- On-site oversight: Support and troubleshoot issues with venue teams, ensuring seamless execution.
Team & Operational Support
- Track internal requests for events, consolidating notes and delivering concise documentation thereafter.
- Maintain inventory systems (banners, tech, materials) and update event asset records.
- Quality-validate design and print deliverables (banners, signage, brochures etc).

Lead Volunteer Management
- Diligently recruit, train, and manage a 40-person team to ensure ideal execution.
- Foster efficiency culture within a tight volunteer schedule.

What We’re Looking For
This is a novice-to-seasoned candidate role. While no previous work experience is required—you’ll receive training—you do need to have a valid UK work permit.

Practical Details
- Permanent, full-time role based at our HQ in London (4-minute walk from London Victoria Station).
- On-site Monday–Friday.
