Role Summary
This development and support role reports to a Senior Events Manager, collaborating with the wider team and stakeholders. Your key responsibility will be managing Haymarket’s events calendar, which includes awards, conferences, forums, and industry networking events for both brand and client clients.
The team operates across up to 65 events per year, balancing portfolio delivery (60%)—overseeing 3–4 smaller, editorial-focused events—and team-wide support (40%) for senior management.
You will need to understand end-to-end event project management, including budgeting, timelines, event microsites, marketing, and stakeholder liaison. This is a developmental opportunity, meaning guidance and mentorship will be provided as you grow into the role.
Your responsibilities will cover brand editorial teams, commercial teams, venues, suppliers, entrants, attendees, sponsors, and any additional key stakeholders.

Additionally, you will provide administrative and operational support to the wider team across the networking portfolio, including Forums, Conferences, and Awards.

Responsibilities
Key Accountabilities
The role is outline-based and covers a mix of portfolio management and support functions. While your primary expectation is service-based in nature, this includes being based in the office and managing events primarily through editorial-focusedirtual interactions rather than hybrid/onsite deliveries.
Event-Focused Tasks
Financial
- Manage project P&L, budgets, expenditures, and forecasts.
- Oversee accurate processing of revenues from entries, table bookings, and delegate fees, ensuring reconciliation with the events management system and financial accounts for each project.
- Resolve any booking-related queries with both internal finance teams and external clients.
- Support budgeting for commercial partners within the commercial team, acting as primary or secondary liaison as needed.
Operational/Administrative
- Maintain collaborative relationships with internal teams (Events, Editorial, Commercial) and external suppliers and contracted partners.
- Schedule and lead regular stakeholder meetings for all projects.
- Organise and maintain online project files on Haymarket’s server or Google Drive.
- Handle online entry system management via Evessio or similar.
- Develop and maintain timelines and event project plans, ensuring adherence to internal deadlines and schedules and adherence to the Haymarket project plan template.
- Coordinate the appointment and briefing of judges or speakers, if needed.
- Serve as the primary point of contact for sponsors, judges, and speakers regarding involvement.
- Process entries in alignment with Haymarket’s approach and judgments for awards.
- Oversee award judging logistics and coordination.

Marketing
- Update and maintain online microsites via direct collaboration with the Marketing team.
- Plan and implement marketing campaigns using various channels, including social media, in-house digital platforms, email marketing, and telesales campaigns.
- Review and approve entry packs, delegate applications, media packs, and sales documents to be used for marketing promotion and delegate engagement.
- Supervise the production of awards advertising assets and additional printed collateral.
- Develop and enhance cross-brand and print promotions, collaborating with internal design and marketing teams.
- Leverage all marketing avenues, including social media, digital entry suppliers, print, telesales, and live events.
Event Logistics
- Supervise team members assisting with event management.
- Ensure compliance with Health & Safety and Risk Assessment measures, including developing comprehensive documentation for events and ensuring dietary accommodations are ascertained.
- Coordinate with editorial teams and websites for critical content deadlines such as shortlists and winner announcements.
- Play an operational support role to help execute sustainable initiatives.
Events Coordinator Tasks
- Conduct competitive market audits on Haymarket events, carefully tracking and benchmarking competitors’ initiatives.
- Organise event archives, digitalising and maintaining promotional documents as historic references.
- Resolve invoice queries and ensure Stripe Ledger upkeep, working with Management Accounts to recover bad debts where necessary.
- Assist in gathering audio-visual assets and delegate documentation for awards cycles.
- provide supplemental assistance to Event Managers across portfolio projects.
Regular Tasks
- Take minutes of meetings as required by senior leadership.
- Support in-office coverage for an Event Manager, answering phones, fielding messages, and coordinating communication on their behalf during offsite event duties.
- Proactively send out necessary internal communications for held project events.
- Update judges/speakers databases, initiating dialogs, and retaining responsive lists of potential contributors.
- Send post-event certificates, trophies, and surveys within post-event follow-up periods.
Requirements
Qualities, Skills, and Experience: Preferred Attributes & Skills
- While a degree is not mandatory, candidates must have obtained at least two A-Levels (or equivalent) at a GCSE level of Grade C or above. Common sense and a proactive attitude are prioritized over academic qualifications.
- Fluency in written and spoken English, critical for professional communication.
- The ability to manage time effectively, complemented by a good sense of humor and teamwork.
- Punctuality, organisation, and a meticulous focus on attention to detail are essential for this role.
- Candidates must be able to take accurate meeting minutes and participate in critical decision-making environments.
- The role demands a self-starter mentality and ability to persevere under pressure and tight deadlines.
- Capable of efficiently using Mac-based software, including Microsoft Office, Eventsforce software, and Google Workspace.
- A strong interest in working within events.
