Role: Events Manager

We are looking for an Events Manager to join our Marketing team in London. You will be responsible for the creation and execution of all internal and client facing events for Thought Machine. You will work closely with the key stakeholders and c-level execs to understand the goals and requirements to execute each event.

Duties

  • End to end planning - planning an event from start to finish according to the objectives, requirements and target audience.
  • Venue research across multiple regions including London, APAC and AMER ensuring the venue selection is on brand in terms of look and feel.
  • Supplier selection and management - ensuring catering, production, AV etc are all engaged and briefed.
  • Stakeholder management - working closely with each stakeholder to keep them informed on logistics and ensure the event is being delivered in conjunction to the brief as well as reviewing content for the event.
  • Documentation - from supplier briefs, timelines, budgets, roles and responsibilities and creating proposal decks.
  • Finance - onboarding suppliers onto our internal finance systems to ensure compliance checks and smooth invoice payments.
  • Budgeting and negotiating including reviewing contracts
  • Invite and guest management
  • Communication - sending company wide comms via email and slack to ensure employees are aware of upcoming events.
  • Onsite executions (travel may be required for global events)
  • Post event surveys and wrap ups/debriefs
  • Management of our swag fulfilment warehouse and online store. Managing this relationship as well as inventory and order processing.
  • Oversee all elements of the production process from initial concept, development, onsite execution and post event-evaluation.
  • Ensuring smooth running of the weekly company all hands (Thought Machine Fridays)

Requirements

Essential

  • Previous event management experience working across various types of global events including large scale conferences, C-level dinners, client facing events, internal away days and team offsites
  • Ability to build rapport internally across the organisation and excellent stakeholder management skills
  • Previous experience of the creation and management of budgets
  • Strong attention to detail, a knack for problem solving and a can-do attitude
  • Excellent communication and time management skills
  • A team player with leadership skills
