Events & Marketing Coordinator

Event Coordinator – Content Marketing & Events Team

About the Role

This role provides hands-on coordination and administrative support across the firm’s events programme and related marketing activity. You’ll help deliver high-quality client and colleague events by supporting logistics, communications, attendee management and post-event follow-up, ensuring a consistent brand experience.


Event Coordination

  • Support the planning and delivery of client and firm events, including:
    • Roundtables
    • Breakfasts
    • Dinners
    • Internal conferences
    • External industry events (e.g., UKREiiF)
  • Help source venues and suppliers, arrange site visits where needed, and coordinate event requirements such as:
    • Catering
    • Room set-up
  • Prepare event materials, ensuring brand alignment:
    • Agendas
    • Delegate lists
    • Briefing packs
    • Name badges
    • Signage
  • Provide on-the-day support, including:
    • Registration/delegate management
    • Supplier coordination
    • Troubleshooting

Event Communications & Invitations

  • Support pre- and post-event communications, including:
    • Drafting and sending invitations, reminders and follow-ups using the firm’s email marketing platform
  • Maintain:
    • Attendee lists
    • RSVPs
    • Dietary/access requirements, ensuring information is handled appropriately

Administration, Tracking & Reporting

  • Maintain accurate event data and attendee records in compliance with:
    • GDPR
    • Internal processes (including uploading attendee lists/notes to CRM where required)
  • Keep event documentation organised, including:
    • Briefs
    • Run sheets
    • Supplier details
    • Budget/invoice tracking (as directed)

Marketing & Team Support

  • Support day-to-day marketing operations, including:
    • Maintaining calendars and inboxes
    • Gathering content for internal communications (e.g., newsletters)
    • Updating shared resources (e.g., business card portal)
  • Help manage:
    • Branded materials
    • Event giveaways
    • Monitoring stock levels and supporting re-orders

Requirements

  • Experience supporting events (typically 1–2 years), ideally in a professional services or similar fast-paced environment
  • Highly organised with strong attention to detail; confident juggling multiple tasks and deadlines
  • Clear, professional communication style; comfortable working with:
    • Senior stakeholders
    • External suppliers
  • Confident using Microsoft Office and quick to learn:
    • CRM systems
    • Email marketing platforms
  • Positive, can-do team player who enjoys hands-on work and ensuring smooth operations
