We are looking for a passionate and customer-focused Events & Reservations Executive to join our Central Reservations team and help deliver outstanding service from the very first enquiry through to the successful delivery of each booking.
About The Role
As an Events & Reservations Executive, you will be the first point of contact for guests looking to dine, celebrate or host an event at Caffè Concerto. You will manage restaurant reservations, respond to event enquiries and assist guests in selecting the most suitable venue and experience for their needs.
Working closely with the Events & Reservations Manager, you will ensure that every enquiry is handled professionally, efficiently and with genuine hospitality. Your ability to build relationships, understand our venues and confidently recommend the right options will play an important role in increasing bookings and delivering an exceptional customer experience.

Key Responsibilities
- Manage reservations and event enquiries received via telephone, email, website, social media, WhatsApp and third-party booking platforms, ensuring every enquiry is answered promptly, accurately and professionally.
- Assist guests with bookings for restaurant reservations, afternoon tea, celebrations, private dining, corporate functions, birthdays and group dining experiences, providing tailored recommendations based on their requirements and the facilities available across our venues.
- Prepare quotations, confirm bookings, process deposits where required and ensure all reservation details, dietary requirements, guest preferences and special requests are accurately recorded within the reservation system.
- Working closely with restaurant management teams, communicate all event details clearly, ensuring each venue has the necessary information to deliver a seamless guest experience.
- Actively promote and upsell Caffè Concerto’s experiences and services, including celebration cakes, flowers, afternoon tea packages, drinks packages, exclusive dining experiences and seasonal promotions, always seeking opportunities to enhance the guest’s booking.
- Follow up on outstanding enquiries, maintain regular communication with prospective clients and work proactively to convert enquiries into confirmed reservations and events.
- Where appropriate, support the Events & Reservations Manager by welcoming prospective clients and assisting with venue show-rounds, helping guests explore our restaurants and identify the most suitable location for their event or celebration.
- Maintain accurate records across all reservation systems, ensuring guest profiles, payments, notes and event details remain up to date while adhering to company procedures.
- Work collaboratively with the Marketing, Operations and Restaurant teams to ensure promotions, campaigns and special events are communicated accurately to guests and successfully delivered across all venues.

What We’re Looking For
We’re looking for someone who enjoys working with people and takes pride in delivering outstanding customer service. You will be an excellent communicator with strong organisational skills and the ability to manage multiple enquiries while maintaining a calm and professional approach.
Previous experience within hospitality, reservations, guest relations, events or customer service is preferred. Experience using reservation systems such as SevenRooms, OpenTable, TheFork, DesignMyNight or similar platforms would be advantageous, although full training will be provided for the right candidate.
You should be confident using Microsoft Office and comfortable learning new systems, with excellent written and spoken English and a genuine passion for hospitality.
