Examinations and Office Assistant (Fixed Term Contract)
Contract Type: Annualised hours contract (500 hours per annum) Hourly Rate: £13.05 per hour (pay award pending)
About the Role
We are seeking an outstanding Examinations and Office Assistant to join our supportive and committed team. This role demands flexibility in working patterns, with peak workload periods during:
- Internal and external exam seasons (November, May, June)
- Sixth Form enrolment (September)
The successful candidate will be responsible for the smooth administration of internal and external examinations, working closely with the Examinations Manager and Examinations Officer.
Key Responsibilities
Examination Administration & Support
- Assist in the management and secure storage of examination papers and stationery in accordance with examining board rules.
- Check all received materials, identifying and resolving discrepancies as necessary before deadlines.
- Collaborate with subject departments to ensure all specific requirements are met.
- Prepare exam venues per JCQ regulations, including transporting scripts and stationery.
- Supervise invigilators on behalf of the Examinations Manager, ensuring smooth conduct.
- Support in pupil management during examinations (entry/exit).
- Handle the distribution and collection of examination papers.
- Document and immediately report any incidents to the Examinations Manager.
- Maintain examination venues post-session (cleaning, restocking).
- Transport and sort scripts, verify lists against attendance registers, and package them under supervision.
- Complete Parcel Force daily logs and schedule packages for delivery.

Post-Exam Responsibilities
- Collate, distribute, and store examination results and certificates.
- Maintain an organised archives system for certificates and results.

- Safeguarding & Compliance: Adhere to child protection, health & safety, security, and confidentiality policies, reporting concerns appropriately.

Requirements
Candidate Profile
- Desire to work in an exam-focused school environment.
- Strong organisational and administrative skills, with an ability to work under pressure.
- Ability to follow detailed procedures and maintain confidentiality.
- Willingness to travel between venues when necessary (May/June).
- Detail-oriented with excellent verbal/written communication skills.
- Basic familiarity with health & safety or safeguarding best practices is advantageous.
