We are seeking a highly motivated Exams and Assessment Officer to join the team at Outwood Academy Portland, affectionately known as "the Palace."
About the Role
This is a pivotal role at the heart of the academy, ensuring the seamless delivery of all internal and external examinations while maintaining:
- Robust and accurate assessment data to drive school improvement.
- Compliance with JCQ regulations and awarding body requirements.
You will take full responsibility for:
- The administration, organisation, and smooth running of examination processes.
- Directly impacting student experience and academic outcomes by:
- Coordinating shareholder entries and timetabling.
- Managing invigilation and results distribution.
- Ensuring accurate tracking of pupil progress and underachievement.
The role also requires significant data responsibility, including:
- Maintaining MIS for entry records.
- Producing reports compatible with Praising Stars for pupil tracking.
- Statistical and trend analysis to support leadership and teaching staff.
Key requirements include:
- Data management (expected to work within and manage SIMS).
- Strong technical ability (Excel proficiency, building databases, basic SQL desirable).
- Excellent organisation, ability to meet tight deadlines, and clear communication.
- Confidence facilitating stakeholder engagement (with staff, students, parents, external agencies).

Responsibilities
As the Exams and Assessment Officer, you will:
Administrative & Compliance
- Oversee examinations processes from entry to certificate distribution, ensuring full:
- JCQ Statutory regulations compliance.
- System use:
- MIS implementation and security for exam entries.
- Operational staffing administration:
- Invigilator supervision (trienage/training).
- Stakeholder Coordination:
- Board’s board liaisons for shifts and terms, with secure handling of examination materials.
Data & Insight-Driven Work
- Aggregate and enhance assessments reports with insights: irregular trends or patterns for targeted interventions.
- Support SLT and managers:
- Student census coordination.
- Analytical work using Praising Stars for identifying at-risk learners.
- Maintain and distribute data to stakeholders, exemplifying accuracy.
Common Collaborations
- Interface effectively:
- With teachers, pastoral teams, external suppliers, and awarding bodies (Edexcel, AQA, WJEC etc.).
- Liaise inclusively with parents, ensuring transparent data communication.
Requirements
Qualifications
- Senior qualifications: A-Level 3 in a relevant field (education, administration, management information systems).
- Technical proficiencies:
- Excel (advanced work complicity; include formulae, pivot tables, data driven projects).
- Ascertain Educational Management Information System experience (SIMS or compatible systems desired).
