Job Description
Main purpose and scope of post
To assist the Examinations Officer in co-ordinating all aspects of the examination process.
To have knowledge of exam and general Awarding Body requirements, regulations and processes.
To provide accurate, timely and effective information, administration and statistics concerning student registration, examination and achievements.
Responsibilities And Accountabilities
- To assist in the provision of a full examinations service to the college according to the requirements of the relevant Awarding Bodies and to ensure that external examination rules and regulations are meticulously followed in line with the relevant Awarding Body guidelines.
- To maintain knowledge of and ensure meticulous adherence to the current JCQ and individual Awarding Body General Regulations, Instructions for Conducting Examinations, malpractice, special considerations, Access Arrangements and reasonable adjustments.
- To assist the Examinations Officer to resolve issues with each of the awarding bodies and JCQ.
- To assist with the accurate registration of both students and qualifications before Awarding body deadlines, including notifying staff of deadlines.
- To assist with the arrangements of and administration for all special considerations, reasonable adjustments and access arrangements with awarding bodies.
- To assist the Examinations Officer in the conducting of all examinations including:
- Timetabling and communication to staff and students
- Booking rooms to meet individual student needs whilst optimising invigilator requirements
- Booking IT resources
- Setting up rooms
- Reporting malpractice to Examinations Officer if identified
- Co-ordinating papers
- To work with colleagues across the college to resolve exam related issues; liaising with awarding bodies and the JCQ as necessary ensuring formal reporting obligations are met.
- Ensure qualifications as recorded on Databridge are accurately reflected to the Awarding Body.
- To assist the Examinations Officer to securely receive, submit and store all examination papers/electronic examinations to the Awarding Body to comply with JCQ Regulation.
- To check the accuracy of all certificates and distribute to students.
- To assist the Examinations Officer to provide statistical information on examinations undertaken and pass rates using the college management information system to record data and produce reports.
- To participate in examination invigilation as and when required.
- To assist in the maintenance of learner, funding and curriculum data in order to ensure its accuracy, consistency and completeness consistent with the guidance issued by external funding agencies, audit and internal procedures.
- Assist in the main enrolment periods as required.
- Assist with the preparation of information for audit and inspections.
- Assist with the timely production of accurate ILR returns as required by the relevant funding agencies.
- Provide staff training in the use of MIS systems and provide login assistance to MIS users.
- Work alongside the MIS Officer in the provision of day-to-day MIS services, ensuring the accuracy and completeness and learner, funding and curriculum data.
