Job Description: Executive Assistant (Support Services)
Role Overview
Position Type: Temporary / 3-Month Contract Job Level: Support Services – Executive Administration Location: Slough, SL1 4LG, United Kingdom
About The Role
We are seeking a highly organised and proactive Executive Administrator to join our Support Services team at Slough.
This role focuses on providing vital secretarial and day-to-day administrative support to an individual executive or a small group of leaders across the organisation.
Successful candidates will leverage their foundational training and office experience to:
- Execute established procedures smoothly
- Handle sensitive/confidential data with absolute discretion
- Optimise business efficiencies
Key Responsibilities
Executive and Calendar Support
- Diary Management: Take control of complex calendars, coordinate diaries, and proactively resolve scheduling conflicts
- Travel Logistics: Arrange and manage complex business travel itineraries, accommodation, and meeting arrangements
- Interaction Management: Act as a gatekeeper, managing and prioritising executive interaction with both internal and external stakeholders
- **Communication Filtering:**Receive, screen, log and direct incoming phone calls, physical mail, emails, and office visitors

Business Documentation and Administration
- Document Production: Use business software to format, edit and design high-quality correspondence, reports, presentations, and agendas
- Information Briefing: Proactively source, gather, organise information/data/background materials required for executive conferences, speeches and reports
- Governance & Tracking: Maintain meticulous files, record keeping and meetings minutes; track business expenses
Decision Making & Problem Solving
- Operational Autonomy: Efficiency managed within established corporate processes with moderate supervision
- Issue Resolution: Identify administrative blockers in everyday situations; resolve problems using standard procedures
Qualifications and Skills
Basic Requirements
- Experience: Proven office administrative skills based on formal training or corporate work experience
- Software Proficiency: Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Confidentiality: Elisabeth & assurance handling sensitive/critical business/personnel files
- Communication: Excellent interpersonal skills, strong telephone/email conduct

Preferred Qualifications (Elevates Application)
- Corporate Financial Process Expertise: Understanding of corporate financial workflows and authorisations
- Executive Interaction: Prior experience direct communication with senior management/executives
- Document Authoring: Experience researching and drafting business documentation
- Bilingual Capability
