An exceptional opportunity has arisen for an experienced, highly organised Executive Administrator to join a private household based in Central London.
Supporting two Global Coordinators, this is a varied, fast-paced role requiring someone who thrives in a demanding environment, can manage multiple priorities simultaneously and delivers consistently high standards of accuracy and discretion.
Although previous private household experience is not essential, candidates must come from a strong corporate administrative background, understand professional protocol, work with minimal supervision and adapt quickly to changing priorities. This is a hands-on position for someone who enjoys taking ownership of projects, improving processes and ensuring nothing is overlooked.
Key Responsibilities:
Working closely with the Global Coordinators, responsibilities will include:
- Managing a range of administration-heavy projects including online filing, database management and document organisation.
- Researching, sourcing and purchasing household items, samples and products while maintaining accurate inventories across multiple properties.
- Implementing and maintaining a digital wardrobe catalogue, working alongside international house teams to upload and manage inventory across several global residences.
- Supporting the planning and delivery of private events, including guest list management, seating plans, sourcing gifts and event materials, and providing administrative support before and during events.
- Reviewing and maintaining a database of more than 6,000 contacts, ensuring formatting consistency, updating professional information, sourcing missing contact details and maintaining accurate records.
- Coordinating gift sourcing and distribution for birthdays, special occasions and seasonal gifting programmes, including tracking deliveries, liaising with recipients and updating contact records where required.
- Researching and recommending training opportunities for the wider team, particularly within AI platforms such as Claude, Gemini and ChatGPT.
- Monitoring emerging technology, AI tools and productivity trends, ensuring the team remains informed of new systems and efficiencies.
- Creating and maintaining Microsoft Outlook rules and automated filing systems to improve email management.
- Producing mail merges and correspondence for invitations and other communications.
- Ensuring complete consistency across electronic and paper calendars, managing complex scheduling across multiple international time zones with exceptional attention to detail.
- Designing and maintaining live project dashboards to provide clear visibility of ongoing projects, priorities and progress.

The successful candidate will demonstrate:
- Previous experience within a fast-paced Executive Assistant, Team Assistant or senior administrative role.
- A strong corporate background with exceptional organisational skills.
- Outstanding attention to detail and accuracy.
- The ability to manage multiple projects simultaneously and adapt quickly to changing priorities.
- Excellent IT skills, including Microsoft Office, Outlook and database management.
- Confidence using technology and an interest in AI productivity tools and process improvement.
- Experience coordinating complex international diaries and multiple time zones.
- A proactive, solutions-focused approach with the confidence to work independently.
- Strong communication skills with a calm, professional and discreet manner.
- High levels of integrity, confidentiality and professionalism at all times.
Salary: £90k - £110k DOE
Start date: Immediate
