Executive Administrator

Team Executive Assistant Temp for 3 to 6 months initially | Hybrid working | Membership Body, London | c.£19.20 per hour + holiday pay

A high-profile not-for-profit Membership Body seeks a proactive PA/EA with a professional and engaging demeanour to support their Executive team. Reporting to the Senior Executive Assistant, this hybrid role requires exceptional organisational skills, strong stakeholder relationships, and the ability to thrive in a dynamic environment.

Bonus! If you love animals, this could be the role for you—dogs are regularly welcome in the office!


Responsibilities

Support to Executive Assistant and Senior Leadership

  • Provide executive support to assist the Senior Executive Assistant and senior leadership team
  • Manage diary coordination, meeting scheduling, and reporting
  • Monitor inboxes and implement follow-up actions as directed by senior EA

Meeting and Minute Support

  • Attend meetings, take accurate minutes, and record actions
  • Ensure timely preparation of meeting documentation (agendas, presentations etc.)
  • Coordinate room bookings, catering, technical requirements, and attendee communications

Event and Project Coordination

  • Assist in planning and delivering internal and external events
  • Coordinate travel arrangements, including flights, accommodation, and transportation
  • Compile detailed travel itineraries and admin support
  • Prepare and administer travel expense reports where required

Administicrative and Executive Support

  • Prepare high-level reports, executive briefings, and presentations
  • Maintain organised records, trackers, and filing systems
  • Ensure smooth running of the Executive Office
  • Provide support for projects as needed

Skills & Experience Required

  • Past experience in administrative, personal assistant, or executive support roles
  • Strong organisational skills in a fast-paced environment with the ability to manage multiple priorities simultaneously
  • Exceptional written and verbal communication with a professional demeanour
  • Proven experience taking meeting minutes and drafting clear, concise reports
  • High attention to detail and accuracy under pressure
  • Ability to work proactively, using initiative with little oversight
  • Confidentiality skills—ability to handle sensitive information
  • Adaptability to shifting priorities and competing deadlines
  • MS Office or Google Workspace experience (Outlook, Word, Excel, PowerPoint)
