Executive Assistant
Role Description We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and operational support to senior management. The successful candidate will manage executive calendars, coordinate meetings, prepare reports and presentations, arrange travel and accommodation, and facilitate effective communication between executives and internal or external stakeholders.
Responsibilities include:
- Organizing schedules
- Handling confidential correspondence
- Preparing meeting agendas and minutes
- Monitoring action items
- Maintaining records and documentation
- Supporting business planning activities
- Coordinating cross-functional initiatives
- Assisting with project administration
- Managing office logistics related to executive functions
- Ensuring that priorities are handled efficiently and professionally
- Screening communications
- Preparing briefing materials
- Supporting event coordination
- Contributing to process improvements that enhance executive productivity and organizational effectiveness

Qualifications
- Bachelor's degree in Business Administration, Management, Communications, or a related discipline.
- Strong understanding of executive administration, office management, and business support functions.
- Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, PowerPoint, and Teams.
- Ability to manage complex calendars, meetings, travel arrangements, and executive schedules efficiently.
- Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent written and verbal communication skills with strong interpersonal abilities.
- Ability to prepare professional reports, presentations, meeting agendas, and minutes.
- High level of discretion and ability to handle confidential and sensitive information with integrity.
- Strong problem-solving skills with the ability to anticipate needs and work independently.
- Excellent attention to detail and commitment to delivering high-quality administrative support.
- Ability to collaborate effectively with stakeholders across different levels of the organization.
- A proactive mindset, adaptability, professionalism, and commitment to continuous improvement.
