Osprey is backed by infrastructure investors. This allows us to invest in the highest-quality network by being independent of equipment manufacturers, energy companies, and technology suppliers. Given the scale of investment, we partner with our landlords by entering a long-term lease, allowing us to fully operate the chargers and provide customer and site care as part of our long-term partnership.

DETAILS ABOUT ROLE

JOB TITLE: Executive Assistant & Office Manager

LOCATION: Office-based (4- 5 days) - nearest stations are Bank, Monument and Cannon Street

DAYS/HOURS: Monday – Friday (9:00 – 17:30)

CONTRACT TYPE: This is initially a 6m FTC

LINE MANAGER: HR Business Partner

ABOUT THE ROLE

As the Executive Assistant & Office Manager you will provide high-level support to the CEO and Executive Chairman, managing their diaries, travel, board meeting preparation, expenses and guest management with professionalism and discretion.

The role also encompasses company-wide event planning and full ownership of office operations, including supplier and building management relationships and company car fleet administration.

If you thrive on keeping multiple priorities organised and running seamlessly, this varied and hands-on role would be great for you.

ROLES & RESPONSIBILITIES

Executive Support

  • Diary management for the CEO and Chairman, and ad hoc support for the wider management team.
  • Making travel arrangements for the management team.
  • Collating presentations for board meetings and business presentations.
  • Coordinating logistics for board meetings and other regular meetings.
  • Preparing agendas and minuting the board and management meetings.
  • Submitting expenses for the CEO and Chairman.
  • Guest Management including greeting and assisting external visitors.

Events Management

  • Planning the quarterly company-wide event.
  • Prepare and coordinate presentation for CEO.
  • Plan other company events as and when required.

Office Management

  • Keeping the office tidy and welcoming for employees and visitors.
  • Arranging seating plans with the office.
  • Ordering office and kitchen supplies.
  • Liaise with internal & external IT support where necessary for office-related IT issues.
  • Managing the central office inbox.
  • Lead contact with the external building management team:
    • Requesting maintenance and repairs.
    • Attending bi-annual occupier meetings.
  • Manage office contracts/relationships:
    • Facilities Management such as cleaning, food delivery, maintenance contracts, etc.
  • Company car management for the full car lifecycle.
