Position Overview
The ideal candidate will operate with a high degree of professionalism and discretion, collaborating effectively across all levels of management, staff, clients, external partners, and regulatory agencies. This individual will serve as a critical operational resource, ensuring the seamless day-to-day functioning of the executive office.

Key Responsibilities
- Calendar & Scheduling Management: Proactively manage calendars, schedule calls, and coordinate meetings and appointments to optimize time and priorities.
- Administrative Support: Coordinate domestic and international travel arrangements and process expense reports in a timely and accurate manner.
- Document Management: Assist with printing, filing, and archiving documents and meeting materials in accordance with firm protocols.
- Special Projects: Partner with the office on ad hoc projects and strategic initiatives, providing research, coordination, and execution support as needed.
- Cross-Departmental Collaboration: Engage with multiple departments to broaden institutional knowledge, formalize skills, and contribute to cross-functional projects and tasks.
- Calendar Oversight: Conduct daily and weekly reviews of team calendars to ensure all stakeholders are informed of upcoming commitments; proactively identify and resolve scheduling conflicts and prioritization issues.

Qualifications & Requirements
- Demonstrated ability to prioritize and manage multiple tasks and projects concurrently while consistently meeting or exceeding deadlines
- Strong collaborative mindset with a commitment to working effectively across teams
- High standard of professionalism in all interactions with internal staff, external partners, and clients
- Sound problem-solving skills with the ability to identify issues and implement effective solutions
- Proven work ethic characterized by diligence, confidence, and initiative
- Excellent written and verbal communication skills
- Exceptional attention to detail and organizational abilities
- Must be available to work in the office 5 days per week
Education, Training & Experience
- Bachelor's degree required
- 5–10+ years of relevant executive administrative experience preferred
- Proficiency in Microsoft Office Suite, with particular emphasis on PowerPoint, Outlook, and Excel
