Executive Assistant
Location: Canary Wharf, Bank Street (Onsite) Contract: 3-month rolling with view to extend up to 12 months
We are looking for a highly organised and proactive Executive Assistant to support 2-3 Managing Directors and a team of Executive Directors within the Commercial & Investment Bank (CIB), EMEA. The role involves providing high-quality executive support, including:
- Complex diary management
- Booking and coordinating travel
- Processing travel expenses
- Ensuring smooth day-to-day administration
The ideal candidate will be:
- Highly organised
- Skilled in multitasking effectively
- Comfortable working in a fast-paced environment
- Able to support senior stakeholders with professionalism and discretion

Diary & Travel Coordination
- Manage executive Outlook duties, including:
- Inbox/diary management
- Complex travel logistics (flights, trains, visas, accommodation, ground transport)
- Handling last-minute adjustments
Events & Meetings
- Organise high-level meetings, conference calls (Teams/Zoom/iMeet), telepresence events, town halls, off-sites, and roadshows
- Oversee routine administrative tasks:
- Room bookings
- Filing
- Supplies management
Expense & Systems Management
- Oversee Concur expense submissions, reimbursements, personal balances, and monthly reconciliations
- Collaborate closely with Expense Management (EMT)
- Proficiency in core systems:
- Concur
- eSource
- Travel Portal
- OMD (Office of Management Data)
- Cross Border
Teamwork & Mentorship
- Work closely with the CIB assistant team for coverage
- Mentor newcomers and foster team cohesion through:
- Collaboration
- Integrity
- A supportive ethos
Line of Business Projects
- Support year-end committee functions
- Assist with:
- MIS (Management Information Systems) & reporting
- Budget and headcount tracking
- Resiliency initiatives
- Oversee forums:
- DUCC (Data & UNC Solutions)
- Com Com (Compliance Committee)
- BRC (Business Review Committee)
- Annual Reviews
